The problem

Budget variance reports that take a spreadsheet rebuild

Comparing budget to actuals in Sage Intacct usually means two exports, a spreadsheet and sign flipping so revenue and expense line up. Then you dig through the ledger to explain overruns, and repeated rows can quietly double the numbers.

Without PopdockAI

  • Export budget and actuals separately
  • Flip signs so revenue and expense line up
  • Remove rows repeated per reporting method
  • Dig through the ledger to explain overruns

With PopdockAI

  • Budget and posted actuals read with one reporting method
  • Variance in amount and percent, favorable or unfavorable
  • Accounts over your threshold flagged
  • Drivers named for the five largest overruns, read-only

Prompt
**Objective:** Compare budget with actuals by GL account from {start-date} to {end-date} (the end defaults to the last day of the start date's month), using budget `{budget-id}` (default: the company's default budget), and explain every account whose variance is at least {variance-threshold} percent (default 10).

**Step 1: Pick the budget**

If a budget ID was given, call `intacct-get-budget` with `budget-id`. Otherwise call it with `default-budget` true. If none or more than one comes back, list the budgets (ID, description, status) and stop.

**Step 2: Budget amounts**

Call `intacct-get-budget-detail` with the `budget-id`, `period-start-date.from` set to the start date and `period-start-date.to` set to the end date. Sum `amount` by `account-number`, adding across departments and locations. If a budget period starts inside the range but ends after it, say the comparison includes that whole period.

**Step 3: Actual amounts**

For each budgeted account, call `intacct-get-general-ledger-detail` with `account-number`, `entry-date.from`, `entry-date.to` and `reporting-method`.

* Rows repeat once per reporting method. Always filter to one: accrual unless the user asks otherwise. Never add rows across methods.
* Call `intacct-get-account` for each account to read `normal-balance`, `account-type` and `title`.
* Actual = `debit-amount` minus `credit-amount` for debit-balance accounts, and the reverse for credit-balance accounts, so revenue and expense both come out positive.
* One call per account keeps each result small. If a call still returns exactly `max-records` rows, mark that account's actual as incomplete.

**Step 4: Variances**

* Variance = actual minus budget. Percent = variance divided by budget.
* Favorable means revenue above budget or expense below it. Unfavorable is the reverse.
* Flag every account at or over the threshold, in either direction.
* For the five largest unfavorable variances, explain the driver: group that account's GL rows by `vendor-name`, `customer-name` and `journal`, and name the few that make up most of the difference.

**Step 5: Report**

1. Summary: revenue budget, actual and variance; expense budget, actual and variance; the net.
2. Flagged accounts, largest variance first: account, title, type, budget, actual, variance, percent, favorable or unfavorable, driver.
3. Budgeted accounts with no activity at all in the period.
4. A note that spending on accounts with no budget line is not covered, because actuals were read only for budgeted accounts.

**Rules & Guidelines:**

* This prompt is read-only. Do not call `intacct-create-budget`, `intacct-update-budget`, `intacct-create-journal-entry` or any other create or update tool.
* Pass dates as YYYY-MM-DD. If the user names an Intacct company, pass it as `company` on every call.

**Validation:**

* If the budget has no detail in the range, say so, list the `period-name` values it does have, and stop.
* If the start date is missing, ask for it rather than guessing.
