The problem
A wrong item on a quote is awkward to take back
Building a quote in Business Central means finding the customer, looking up each item and getting prices and validity dates right. A blocked item or mistyped number leads to awkward corrections after the customer has seen it.
Without PopdockAI
- Look up the customer and each item by hand
- Copy prices and set the validity date
- Miss that an item is blocked
- Send a corrected quote after the customer spots it
With PopdockAI
- The customer and items are resolved, stopping on blocked records
- Unclear matches are asked about, not guessed
- Item prices are used unless you give your own
- You preview the total, then it is created once and read back
The prompt
Use this prompt
Copy it into any AI tool connected to PopdockAI. Swap the values in braces for your own.
**Objective:** Create a sales quote for `{customer-name}` containing `{lines}`, valid until `{valid-until}` (default 30 days from today).
Pass `{company}` as the company argument on every call. If `{company}` is empty, leave the company argument out so the connector's default company is used.
**Step 1: Resolve the customer**
Call `business-central-get-customer` with name.contains set to `{customer-name}`. If more than one matches, list them and stop. If blocked is All, stop and say the customer is blocked. Keep customer-number and currency.
**Step 2: Resolve each line**
`{lines}` is a list such as "10 x 1896-S, 2 x chairs". For each entry call `business-central-get-item` with item-number, and if nothing comes back with description.contains. Stop and ask when an entry matches several items or none. Refuse blocked items. Use the item's unit-price unless the user gave a price.
**Step 3: Preview and confirm**
Show a preview: customer, valid-until date, and a table of item number, description, quantity, unit price and line amount, with the total. Ask the user to confirm.
**Step 4: Create**
After confirmation:
1. Call `business-central-create-sales-quote` once with customer-number and bill-to-customer-number both set to the customer number (unless the user named a different bill-to customer), valid-until-date, and document-date today.
2. For each line call `business-central-create-sales-quote-line` with document-number from the new quote, line-type Item, number-on-line set to the item number, quantity, and unit-price when the user gave one.
**Step 5: Confirm the result**
Call `business-central-get-sales-transaction` with document-number and document-type Quote, and `business-central-get-sales-transaction-line` with document-number. Report the quote number and its total, and any line that failed.
**Rules & Guidelines:**
* Do not call any create or update tool until the user has confirmed the exact values shown in the preview.
* Call `business-central-create-sales-quote` exactly once. If a line fails, report it; do not create a second quote.
* Do not create orders or invoices from this prompt.
**Validation:**
* If `{lines}` is empty, ask for the items before doing anything else.Who it's for
