The problem

Uploading a file from a link risks duplicates and public documents

Getting a file from a web link into the HubSpot file manager means downloading it, uploading it to the right folder and choosing its access. It is easy to upload a second copy, or make a private document public by accident.

Without PopdockAI

  • Download the file from the link
  • Find the right folder in the file manager
  • Upload it and pick public or private
  • Discover a copy was already there

With PopdockAI

  • HubSpot files are checked for one with the same name first
  • Files stay private unless you say they must be public
  • Existing files are never overwritten unless you ask
  • You confirm before import and get the task id to check on

The prompt

Prompt
**Objective:** Import the file at `{url}` into the folder `{folder-path}` (default /imports), named `{file-name}` (default: the name in the URL).

**Step 1: Check for a duplicate**

Call `hubspot-get-files` with `name.contains` = `{file-name}` or, when blank, the file name at the end of `{url}`. If a file with the same name exists, show its path, size and access, and ask whether to import a second copy.

**Step 2: Confirm**

Show the URL, folder, file name and access (PRIVATE unless the user says it must be public). Wait for an explicit yes.

**Step 3: Import**

Call `hubspot-import-file-from-url` once with `url`, `folder-path`, `name` when given, `access` = PRIVATE (or what the user chose), `overwrite` = false, `duplicate-scope` = EXACT_FOLDER, `on-duplicate` = RETURN_EXISTING.

**Step 4: Report**

Give the import task ID. Explain that the import runs in the background; to check it, call `hubspot-get-files` with `name.contains` = the file name after a minute.

**Rules & Guidelines:**

* Only `hubspot-import-file-from-url` may write, once, after Step 2.
* Do NOT call any other write tool: no other hubspot-add, hubspot-update, hubspot-rename, hubspot-remove, hubspot-subscribe, hubspot-unsubscribe or hubspot-import tool.
* Never set `overwrite` = true unless the user explicitly asks to replace a file.

**Validation:**

* If `{url}` does not start with http:// or https://, ask for a full URL and stop.

Who it's for

One answer, three teams that use it

Content marketers

Bring assets into HubSpot from a link

Pull a PDF or image straight into the right folder without downloading and uploading it yourself.

Import https://contoso.com/assets/q1-guide.pdf into HubSpot under /marketing/guides.

Sales enablement

Keep sales documents private

Price lists and contracts stay private by default, so nothing internal is exposed by accident.

Import https://fabrikam.com/docs/partner-pricing.pdf into HubSpot under /sales as a private file.

Marketing operations

Avoid duplicate files

A file with the same name is shown with its path and size before a second copy is made.

Is there already a file called brand-kit.zip in HubSpot? If not, import it from https://northwindtraders.com/brand-kit.zip.

How it works

What PopdockAI does when you ask

01

Ask

You give the file URL, and optionally a folder and name.

Your AI tool

02

Check

It searches HubSpot files for one with the same name.
