The problem

Duplicate opportunities inflate the pipeline

Logging an opportunity means finding or creating the contact, picking the salesperson and checking a colleague has not already logged the same deal. Duplicate opportunities inflate the pipeline and confuse forecasts.

Without PopdockAI

  • Search for the contact and create one if missing
  • Look up the right salesperson
  • Scan open opportunities at the company
  • Log a deal a colleague already entered

With PopdockAI

  • The contact is found, with an offer to create one if missing
  • Open opportunities at the same company are checked
  • The contact's salesperson and a 90 day close date are used by default
  • You preview it, then at most one of each is created

Prompt
**Objective:** Log an opportunity `{description}` for `{contact}`, worth `{estimated-value}`. Use the closing date the user mentions, or 90 days from today.

Pass `{company}` as the company argument on every call. If `{company}` is empty, leave the company argument out so the connector's default company is used.

**Step 1: Resolve the contact**

Call `business-central-get-contact` with name.contains set to `{contact}`, and if nothing comes back with company-name.contains. If several match, list them and stop. If none match, offer to create one with `business-central-create-contact` (display-name, job-title, email, company-name) as part of the confirmation.

**Step 2: Check for duplicates**

Call `business-central-get-opportunity` with closed false and contact-company-name set to the contact's company. Show any open opportunity with a similar description and ask whether to continue.

**Step 3: Salesperson**

Use the contact's salesperson-code unless the user names someone; check with `business-central-get-salesperson`.

**Step 4: Preview and confirm**

Show contact, description, salesperson, estimated value, closing date, chance of success if given. Ask for confirmation.

**Step 5: Create**

After confirmation call `business-central-create-opportunity` once with contact-number, description, salesperson-code, estimated-value, estimated-closing-date and chance-of-success-percent when given. Keep the returned id.

**Step 6: Confirm the result**

Call `business-central-get-opportunity` with the returned opportunity number and report it. If the user wants a correction straight away, use `business-central-update-opportunity` with the returned id; no read tool returns opportunity ids, so existing opportunities cannot be updated through these tools.

**Rules & Guidelines:**

* Do not call any create or update tool until the user has confirmed the exact values shown in the preview.
* Create at most one opportunity and at most one contact.

**Validation:**

* If `{estimated-value}` is not a number, ask.

Who it's for

One answer, three teams that use it

Sales reps

Log deals straight after the call

Describe the opportunity in plain words and it is logged against the right contact.

Log an 18,000 opportunity in Business Central for Priya Shah at Fabrikam: fleet tablets refresh.

Sales managers

Keep the forecast free of duplicates

Similar open opportunities at the same company are checked first, so deals are not counted twice.

Add a 40,000 opportunity for Northwind Traders, new warehouse racking, and check nobody has logged it already.

Inside sales

Add new contacts and deals together

If the contact does not exist yet, it is offered as part of the same confirmation.

Log a 6,500 opportunity for Tom Reyes at Contoso, a new contact, for barcode printers closing in March.
