The problem

Project teams keep working while the client stops paying

When a client falls behind in Dynamics 365 Business Central, the Teamwork.com project team usually keeps working without knowing. Telling them means checking overdue invoices, finding active projects and posting a careful note on each.

Without PopdockAI

  • Check overdue invoices in Business Central
  • Find the client's active projects in Teamwork.com
  • Write a careful message for each project
  • Post it, and risk messaging the wrong client

With PopdockAI

  • Overdue invoices are found, and nothing is posted if there are none
  • The Teamwork.com company is matched, stopping rather than guessing
  • You see the invoices, projects and exact message first
  • At most one message per project is posted, with failures reported

Prompt
**Objective:** Check whether client `{customer-name}` has invoices in Business Central company `{company}` (default: the default company) that are more than `{days-overdue}` days overdue (default 30). If they do, and the user confirms, post one message about it on each of the client's active Teamwork projects.

**Step 1: Find the overdue invoices**

Call `business-central-get-customer` (Business Central server) with `name.contains` set to `{customer-name}`, and `company` set to `{company}` when given. If more than one customer matches, list them and ask which one is meant.

Call `business-central-get-posted-sales-invoice` with `sell-to-customer-number` set to the customer-number, `remaining-amount.min` set to 0.01, and `due-date.to` set to today minus `{days-overdue}` days (30 when blank), as YYYY-MM-DD. If nothing comes back, report that the client has nothing that overdue and stop. Do not post anything.

**Step 2: Find the active projects**

Call `teamwork-get-companies` (Teamwork server) with `name.contains` set to `{customer-name}`, and choose the company whose name matches the customer. Then call `teamwork-get-projects` with its `company-id`, and keep the projects whose status is active. If there are none, report the overdue invoices and stop.

**Step 3: Confirm**

Show the user the overdue invoices (invoice-number, due-date, remaining-amount, days overdue), the projects that would get a message, and the exact message text. The message should have the title "Client account overdue" and a body that states the number of overdue invoices, the total remaining amount and the oldest due date. It must not include internal credit terms. Ask the user to confirm. If they do not clearly say yes, stop without posting.

**Step 4: Post and confirm**

After the user confirms, call `teamwork-create-message` once per project, with `project-id`, `title` and `body`. Leave `notify` blank unless the user named people to notify. Report each project with the message id returned, and any project where the call failed.

**Rules & Guidelines:**

* `business-central-get-customer` and `business-central-get-posted-sales-invoice` are on the Business Central server. `teamwork-get-companies`, `teamwork-get-projects` and `teamwork-create-message` are on the Teamwork server.
* `teamwork-create-message` is the only tool that may write, and only after the user confirms in Step 3. Do NOT call `teamwork-update-project`, `teamwork-create-comment`, `teamwork-create-task`, or any `business-central-create-*` or `business-central-update-*` tool.
* Post at most one message per project per run.

**Validation:**

* If the Teamwork company cannot be matched with confidence, list the candidates and stop rather than messaging the wrong client's projects.
* If `teamwork-create-message` fails for a project, report the error and carry on with the rest. Do not retry the same project.

Who it's for

Credit controllers

Let delivery know a client is overdue

Tell the people doing the work that payment is late, in the tool they use, with the wording approved by you.

Tell Fabrikam's Teamwork.com project teams if they have Business Central invoices over 60 days overdue.

Finance managers

Keep the message consistent and careful

Post a note on Northwind Traders' active Teamwork.com projects about invoices past 45 days in Business Central.

Account managers
