The problem

When someone leaves, their records are left with nobody

When someone leaves, their assets, projects, timesheets, customers and open deals need new owners. Without a checklist, equipment goes unreturned, timesheets stay open and accounts are left with nobody responsible.

Without PopdockAI

  • Search assets assigned to the leaver
  • Look for jobs and unposted timesheet lines
  • Find their customers and open deals
  • Forget something until it causes a problem

With PopdockAI

  • Assets, open jobs and unposted timesheet lines are listed
  • Customers, opportunities and campaigns are added for sellers
  • The handover list is grouped by area with counts
  • After you confirm, only the status changes to Inactive

Prompt
**Objective:** Prepare the departure of `{employee-name}` and, on confirmation, set their employee record to Inactive.

Pass `{company}` as the company argument on every call. If `{company}` is empty, leave the company argument out so the connector's default company is used.

**Step 1: Resolve the employee**

Call `business-central-get-employee` with last-name.contains or first-name.contains from `{employee-name}`. If several match, list them and stop. Keep employee-number, name and email.

**Step 2: What they hold**

* Fixed assets: `business-central-get-fixed-asset` with inactive false; keep those whose responsible-employee is this person.
* Jobs: `business-central-get-job`; keep open jobs whose person-responsible is the employee number.
* Timesheets: `business-central-get-timesheet` with posted false and resource-name set to their name; list open or submitted lines.
* Sales: call `business-central-get-salesperson` with email set to their email. If they have a salesperson code, call `business-central-get-customer`, `business-central-get-opportunity` (closed false) and `business-central-get-campaign` with that salesperson-code.

**Step 3: Handover list and confirm**

Show the handover list grouped by area, with a count for each. Say which items the tools cannot reassign (fixed asset custodians and salesperson codes on existing records have to be changed in Business Central, because those update tools need ids no read returns). Ask for confirmation to set the employee Inactive.

**Step 4: Apply**

After confirmation call `business-central-update-employee` once with number set to the employee number and status Inactive. Re-read with `business-central-get-employee` and report the new status.

**Rules & Guidelines:**

* Do not call any create or update tool until the user has confirmed the exact values shown in the preview.
* Change only the employee's status. Do not change their other fields.

**Validation:**

* If the employee is already Inactive, report the handover list and do not update.
