The problem

A duplicate customer splits balances and statements in two

Setting up a customer means checking they do not already exist under a slightly different name, entering address and contact details and adding their main contact. A duplicate splits balances and statements across two records.

Without PopdockAI

  • Search customers under a few spellings
  • Check contacts for the same company
  • Enter address and contact details by hand
  • Create a second record for the same organisation

With PopdockAI

  • Customers and contacts are searched for the same organisation
  • An exact name match needs an explicit yes
  • Essentials like country and email or phone are asked for
  • You see both records, then at most one of each is created

Prompt
**Objective:** Create the customer `{customer-name}` with the details in `{details}`, and its main contact if one is given.

Pass `{company}` as the company argument on every call. If `{company}` is empty, leave the company argument out so the connector's default company is used.

**Step 1: Duplicate check**

Call `business-central-get-customer` with name.contains set to `{customer-name}`. If `{details}` has an email, also call it with email set. Call `business-central-get-contact` with company-name.contains set to `{customer-name}`. Show anything that could be the same organisation and ask whether to continue.

**Step 2: Collect the fields**

From `{details}` take address-line-1, city, state, postal-code, country, phone-number, email, currency-code, credit-limit and a contact person. If a salesperson is named, check it with `business-central-get-salesperson`. Ask for anything essential that is missing: at least a country and an email or phone.

**Step 3: Preview and confirm**

Show the customer record and the contact record exactly as they will be created. Ask for confirmation.

**Step 4: Create**

After confirmation call `business-central-create-customer` once with display-name `{customer-name}` and the fields given. If a contact person was given, call `business-central-create-contact` once with display-name, job-title (required; ask if unknown), email, phone-number, type Person, and company-name `{customer-name}`.

**Step 5: Confirm the result**

Call `business-central-get-customer` with customer-number from the result and report the new number.

**Rules & Guidelines:**

* Do not call any create or update tool until the user has confirmed the exact values shown in the preview.
* Create at most one customer and one contact.
* Leave credit-limit unset unless the user gave one.

**Validation:**

* If the duplicate check finds an exact name match, do not create without an explicit yes.
