The problem
Payment runs built on missed credits and stale cash
Planning a Dynamics GP payment run means pulling what is due, netting vendor credits, leaving out held vendors and checking cash. Done in a spreadsheet, credits get missed and the run is built on a stale bank balance.
Without PopdockAI
- Export open payables due soon
- Net credit memos and returns by vendor by hand
- Remove vendors on hold or inactive
- Check checkbook balances that may be weeks out of date
With PopdockAI
- Invoices due in the window are read and credits netted per vendor
- Held and inactive vendors are set aside with what they are owed
- The total is compared with checkbook balances, with stale reconciliations flagged
- A proposal for approval, with nothing paid or changed

**Objective:** Build a proposed payment run of payables invoices that are overdue or due within `{due-within-days}` days (default 14), grouped by vendor and checked against the cash in checkbook `{checkbook-id}` (default all active checkbooks).
Pass `{company}` as `company` on every call (if it is empty, omit `company` and the default company is used). Pass a generous `max-records` (1000). If a result comes back with exactly that many rows, say the result may be truncated.
**Step 1: Open payables**
Call `dynamics-gp-get-pm-payables-trx` with `document-date.to` set to today plus the window (a document cannot fall due before its document date, so nothing due in the window is lost). Keep non-voided documents with `current-trx-amount` greater than 0.
* Invoices, finance charges and miscellaneous charges with `due-date` on or before today plus the window go into the run.
* Credit memos and returns with a remaining amount are credits; hold them per vendor to net against that vendor's invoices.
**Step 2: Vendor standing**
For each distinct `vendor-id`, call `dynamics-gp-get-pm-vendor` filtered by `vendor-id`. Take out of the run any vendor whose `hold` is set or whose `vendor-status` is not active, and list them separately with what they are owed.
**Step 3: Cash available**
Call `dynamics-gp-get-gl-checkbook`, filtered by `checkbook-id` when given, keeping checkbooks that are not `inactive`. Note `current-balance`, `currency-id` and `last-reconciled-date`.
**Step 4: Report**
* Summary line: total proposed, total credits netted, cash available, and the shortfall or headroom.
* Per vendor (overdue vendors first, then by earliest due date): vendor id, name, terms, invoices in the run (document number, due date, days overdue or days until due, remaining amount), credits netted, net to pay.
* Vendors excluded for hold or status, with amounts.
* If cash does not cover the run, suggest which invoices to defer, keeping the most overdue in.
**Rules & Guidelines:**
* This is a proposal for someone to approve, not a payment. Say so at the top.
* Read-only. Do not call `dynamics-gp-pm-payables-trx-add`, `dynamics-gp-pm-vendor-update`, `dynamics-gp-gl-bank-transaction-add` or any tool whose name does not contain `get`.
* No tool returns discount dates, so do not claim a discount will be lost or gained.
* Do not mix currencies in one total; group by `currency-id` if checkbooks differ.
**Validation:**
* If nothing is due in the window, say so and give the next due date and amount.
* If a checkbook's `last-reconciled-date` is more than 45 days ago, warn that its balance may not reflect cleared items.Who it's for
One answer, three teams that use it
AP managers
Build the weekly run in one step
Due invoices with credits netted give you a run ready to approve, without a spreadsheet.
Plan our Dynamics GP vendor payment run for everything due by Friday.
Treasury teams
Check the run against cash
The run total is set against checkbook balances, with a deferral list if cash is short.
Can we afford the Dynamics GP payments due in the next 30 days from the OPERATING checkbook?
Controllers
Keep held vendors out of the run
Vendors on hold or inactive are set aside with the amount owed, so nothing goes out that should not.
Plan Dynamics GP payments due this month and show which vendors on hold are being left out.
How it works
What PopdockAI does when you ask
You set a due window, and your AI assistant builds a proposed payment run from Dynamics GP payables and cash. It is a proposal for you to approve, and nothing is paid.
01
Ask
You set a due window, and optionally a checkbook.
02
Read
It reads open payables due in the window and nets each vendor's credits.
03
Cash
It sets aside held vendors and compares the total with checkbook balances.
04
Report
You get a proposed run, with what to defer if cash is short.
