The problem

Purchase orders missing or overspent across systems

Purchase orders live in NetSuite and again in Ramp, and checking a vendor's orders in both by hand lets missing orders through. A Ramp order can also be billed past its amount without anyone noticing.

Without PopdockAI

  • List the vendor's purchase orders in NetSuite
  • Search Ramp orders, which cannot be filtered by vendor
  • Match order numbers by hand
  • Miss a Ramp order spent beyond its amount

With PopdockAI

  • NetSuite and Ramp orders are read for the period
  • Orders are matched by number, ignoring case and spaces
  • Billing, receipt status and spend are shown for matches
  • Overspend is highlighted, and nothing is changed

Prompt
**Objective:** Compare purchase orders for vendor `{vendor-name}` created from `{date-from}` to `{date-to}` between NetSuite and Ramp, and report orders missing on either side.

**Step 1: NetSuite purchase orders**

Call `netsuite-get-purchaseorder` (netsuite server) with vendor-last-name.contains `{vendor-name}`, date.from `{date-from}` and date.to `{date-to}`. Keep `document-number`, `vendor-company-name`, `date` and `internal-id`. Keep only rows whose `vendor-company-name` contains `{vendor-name}`.

**Step 2: Ramp purchase orders**

Call `ramp-get-purchase-order` (ramp server) with created-at.from `{date-from}` and created-at.to `{date-to}`. Keep `purchase-order-number`, `name`, `amount`, `currency-code`, `billing-status`, `receipt-status`, `spend-total-amount` and `id`. Ramp has no vendor filter here, so keep only orders whose `name` contains `{vendor-name}`, or whose number matches a NetSuite document.

**Step 3: Match**

Match NetSuite `document-number` to Ramp `purchase-order-number`, ignoring case and spaces. Report unmatched orders on each side separately.

**Step 4: Report**

Tables for matched, NetSuite only and Ramp only. For matched orders show Ramp amount, billing status, receipt status and total spent. Highlight Ramp orders with spend above the order amount.

**Rules & Guidelines:**

* Tools whose names start with netsuite are on the netsuite server; tools whose names start with ramp are on the ramp server. Both servers must be connected.
* This prompt is read-only. Call only the read (get) tools named in the steps. Never call any Add, Update, Delete, archive, suspend or sync tool on either server.
* Use only the filters named in each step. Set max-records to 200 unless told otherwise.

**Validation:**

* If Ramp orders are not named after the vendor, say that vendor filtering was unreliable and show all Ramp orders in the period that have no NetSuite match.
* If either side is empty, report it and stop.
