The problem
Aging in Intacct starts from the wrong numbers
After moving to Sage Intacct, finance must prove every customer balance open in Dynamics GP at cutover arrived as an open invoice. Later payments in GP, changed due dates and drifting IDs make it harder than comparing totals.
Without PopdockAI
- Rebuild each customer's open GP items at cutover
- Add back payments applied after cutover
- Match customers and invoices across changed IDs
- Start aging and dunning on unproven balances
With PopdockAI
- Open GP receivables are rebuilt at cutover, adding back later applications
- Customers match by ID, then by name
- Documents match by invoice or reference number
- Unapplied payments count as open items, and missing invoices are listed for import

**Objective:** Confirm the open receivables in Dynamics GP at `{cutover-date}` match the open invoices in Intacct, for customer `{customer-id}` or for every customer when it is empty.
**Step 1: Open GP receivables at cutover**
Call `dynamics-gp-get-rm-trx` with `document-date.to` = `{cutover-date}` (and `customer-id` = `{customer-id}` when given). Drop voided documents (`void-status`). `current-transaction-amount` is what is still open today; keep documents where it is not zero. Treat document types that reduce the balance (credit memos, returns, payments) as negative, using the codes the tool lists for `document-type`.
If GP was used after cutover, add back what was applied since: call `dynamics-gp-get-rm-trx-apply` with `document-date.from` = the day after `{cutover-date}` and add each `amount-applied` back to its `applied-to-document-number`.
**Step 2: Open Intacct invoices**
Call `intacct-get-invoice` with `total-due.min` = 0.01 (and `customer-id` when given), and `intacct-get-ar-adjustment` for migrated credit memos with an open `total-due`.
**Step 3: Match**
Match customers on `customer-id`, exactly first, then ignoring case and leading zeros. For GP customers still unmatched, look them up by name with `intacct-get-customer` and label the result "matched by name".
Within a customer, match GP `document-number` to Intacct `invoice-number`, then to `reference-number`. Compare the open amount and the due date.
**Step 4: Report**
1. Customer summary: customer, GP open at cutover, Intacct open, difference. Put only customers with a difference in the table and give the count that tie.
2. GP documents missing from Intacct: customer, document number, type, date, open amount.
3. Intacct invoices with no GP document.
4. Amount or due date mismatches (a due date change moves the invoice in the aging and in dunning).
5. Grand totals on both sides.
**Rules & Guidelines:**
* Tools prefixed dynamics-gp- are on the dynamics-gp MCP server. Tools prefixed intacct- are on the intacct MCP server. Both servers must be connected; if a tool from either is missing, say which server is not connected and stop.
* Pass `{gp-company}` as `company` on every dynamics-gp- call (empty means the default GP company). Use the default Intacct company; if the Intacct side holds several entities and it is not clear which one received this GP company, ask before starting.
* Set `max-records` high (5000) on every list read. If a read returns exactly that many rows, say the result may be truncated and narrow the filter (per account, per vendor, per customer or per item) instead of reporting totals from it.
* Read only. Intacct has no invoice-creation tool here, so report missing invoices for import. Do NOT call `dynamics-gp-rm-trx-add`, `dynamics-gp-rm-sales-trx-add`, `intacct-create-order-entry-document` or `intacct-update-customer`.
**Validation:**
* If `{customer-id}` is given and not found in GP, say so and stop. If it is in GP but not in Intacct, report the customer as not migrated.
* Amounts within 0.01 tie. An unapplied GP payment or credit is still an open item; it must appear in Intacct too.Who it's for
One answer, three teams that use it
AR managers
Trust the opening AR in Intacct
Customers that do not tie and missing invoices are listed, so collections start from correct balances.
Reconcile open receivables from Dynamics GP with Sage Intacct at our 31 December cutover.
Migration accountants
Get a list of invoices to import
GP documents missing from Intacct are listed with amounts and due dates, ready for import.
Which customer invoices open in GP at cutover are not in Intacct?
Credit controllers
Check due dates came across
Due date mismatches are flagged, so dunning letters do not go out early or late.
Are there due date differences between GP and Intacct for Fabrikam's open invoices at cutover?
How it works
What PopdockAI does when you ask
You give the cutover date, and your AI assistant rebuilds what customers owed in Dynamics GP and matches it to Sage Intacct. It only reads.
01
Ask
You give the cutover date, and optionally a customer.
02
Rebuild
It works out each customer's open GP receivables at cutover.
03
Match
It matches customers by ID or name and documents by invoice or reference.
04
Report
You get customers that do not tie and invoices to import.
