The problem

Customers lost or duplicated in the move to Intacct

Moving customers from Dynamics GP to Sage Intacct leaves gaps: some never came across, some came under a new ID, and holds and credit limits are lost. Creating the missing ones by hand risks duplicates and wrong payment terms.

Without PopdockAI

  • Compare customer lists from GP and Intacct
  • Search Intacct by name for customers under a new ID
  • Map payment terms by hand
  • Lose hold status and credit limits on the way

With PopdockAI

  • Each active GP customer is checked in Intacct by ID, then by name
  • Name matches under another ID are flagged, never created
  • You confirm the payment term mapping and the rows, 25 at a time
  • GP holds are kept, credit limits are listed, and each is read back

Prompt
**Objective:** Create in Intacct the active GP customers that are missing there, optionally only GP customer class `{customer-class}`, after the user confirms the list.

**Step 1: GP customers**

Call `dynamics-gp-get-rm-customer` with `inactive` = false (`customer-class` = `{customer-class}` when given). Note which are on `hold` and each `credit-limit-amount`.

**Step 2: Check Intacct**

For each GP customer call `intacct-get-customer` with `customer-id`. If there is no match, call it again with `customer-name`. A name match under a different id means "possibly migrated under a new id": list it and never create it.

**Step 3: Propose**

For each missing customer propose:
* `customer-id`: the GP `customer-id`.
* `name` and `print-as`: the GP `customer-name`.
* `address-line-1`, `city`, `state`, `zip`: from GP `address-1`, `city`, `state`, `zip`.
* `email`: `main-email-address`; `phone`: `phone-1`.
* `payment-term`: only if the user confirms the Intacct term name that matches GP `payment-terms-id`. Ask once for the mapping of the GP term ids you found.
* `status`: active.

The create tool takes no credit limit. List each GP credit limit in the proposal as "not carried, set separately".

Show the proposal and ask the user to confirm, edit or drop rows.

**Step 4: Create**

Only after confirmation, call `intacct-create-customer` once per confirmed customer. For a created customer that is on hold in GP, call `intacct-update-customer` with `on-hold` = true, once. Stop on the first failure, report it, and ask whether to continue.

**Step 5: Confirm**

Re-read each created customer with `intacct-get-customer` and report: created, placed on hold, failed (with the error), skipped, possible duplicates, and credit limits still to set.

**Rules & Guidelines:**

* Tools prefixed dynamics-gp- are on the dynamics-gp MCP server. Tools prefixed intacct- are on the intacct MCP server. Both servers must be connected; if a tool from either is missing, say which server is not connected and stop.
* Pass `{gp-company}` as `company` on every dynamics-gp- call and `{intacct-company}` as `company` on every intacct- call. Leave either empty to use that server's default company, and name the companies you used in the report.
* Set `max-records` high (5000) on every list read. If a read returns exactly that many rows, say the result may be truncated and narrow the filter (per account, per vendor, per customer or per item) instead of reporting totals from it.
* The only writes allowed are `intacct-create-customer` per confirmed customer and `intacct-update-customer` to set a hold. Never write to GP: do NOT call `dynamics-gp-rm-customer-add` or `dynamics-gp-rm-customer-update`.
* Propose at most 25 customers per confirmation; offer the next batch.

**Validation:**

* If every active GP customer is already in Intacct, say so and stop.
* Never create a customer whose name already exists in Intacct.

Migration leads

Finish the customer migration

Customers that never came across are found and created in reviewed batches, without duplicating those under a new ID.

Which active Dynamics GP customers in class RETAIL are missing from Sage Intacct? Set them up.

Credit controllers

Keep holds in place after cutover

Customers on hold in GP go on hold in Intacct, and credit limits are listed for you to set.

Invoice customers who were left behind

Once the missing customers exist in Intacct, invoices for them can be raised without delay.
