Open payables in Intacct with every cutover bill accounted for
For finance teams who want open Dynamics GP payables at cutover tied to Sage Intacct bills, by asking their AI assistant.

The problem
Total payables tie, but bills are still missing
Confirming every open Dynamics GP payable reached Sage Intacct is hard when GP stayed in use after cutover and payments reduced what is open. Vendor IDs and invoice numbers drift, so a total comparison hides missing bills.
Without PopdockAI
- Rebuild what was open in GP at the cutover date
- Add back payments applied since
- Match vendors and bills across changed IDs and numbers
- Trust a total that hides missing bills
With PopdockAI
- What was open at cutover is rebuilt, adding back later payments
- Vendors match by ID, then by name
- Documents match by bill or reference number
- Missing bills are listed for import, never created

**Objective:** Confirm the open payables in Dynamics GP at `{cutover-date}` match the open bills in Intacct, for vendor `{vendor-id}` or for every vendor when it is empty.
**Step 1: Open GP payables at cutover**
Call `dynamics-gp-get-pm-payables-trx` with `document-date.to` = `{cutover-date}` (and `vendor-id` = `{vendor-id}` when given). Drop voided documents. `current-trx-amount` is what is still open today; keep documents where it is not zero. Treat document types that reduce what is owed (credit memos, returns, payments) as negative, using the codes the tool lists for `document-type`.
If GP was used after cutover, today's open amount understates the cutover amount. Call `dynamics-gp-get-pm-payables-apply` with `payment-date.from` = the day after `{cutover-date}` and add each `applied-amount` back to its `apply-to-document-number`.
**Step 2: Open Intacct bills**
Call `intacct-get-bill` with `total-due.min` = 0.01 (and `vendor-id` when given), and `intacct-get-ap-adjustment` for migrated credit memos with an open `total-due`.
**Step 3: Match**
Match vendors on `vendor-id`, exactly first, then ignoring case and leading zeros. For GP vendors still unmatched, look them up by name with `intacct-get-vendor` and label the result "matched by name".
Within a vendor, match GP `document-number` to Intacct `bill-number`, then to `reference-number`. Compare the open amount and the due date; a changed due date moves the document in the aging.
**Step 4: Report**
1. Vendor summary: vendor, GP open at cutover, Intacct open, difference. Put only vendors with a difference in the table and give the count of vendors that tie.
2. GP documents missing from Intacct: vendor, document number, type, date, open amount.
3. Intacct bills with no GP document.
4. Amount or due date mismatches.
5. Grand totals on both sides.
**Rules & Guidelines:**
* Tools prefixed dynamics-gp- are on the dynamics-gp MCP server. Tools prefixed intacct- are on the intacct MCP server. Both servers must be connected; if a tool from either is missing, say which server is not connected and stop.
* Pass `{gp-company}` as `company` on every dynamics-gp- call (empty means the default GP company). Use the default Intacct company; if the Intacct side holds several entities and it is not clear which one received this GP company, ask before starting.
* Set `max-records` high (5000) on every list read. If a read returns exactly that many rows, say the result may be truncated and narrow the filter (per account, per vendor, per customer or per item) instead of reporting totals from it.
* Read only. Intacct has no bill-creation tool here, so report missing bills for import; never try to create them. Do NOT call `dynamics-gp-pm-payables-trx-add`, `intacct-create-recurring-bill` or `intacct-update-vendor`.
**Validation:**
* If `{vendor-id}` is given and not found in GP, say so and stop. If it is in GP but not in Intacct, report the vendor as not migrated.
* Amounts within 0.01 tie. A document open in GP and fully paid in Intacct is a timing question for the user, not a missing bill.Who it's for

How it works
What PopdockAI does when you ask
You give the cutover date, and your AI assistant rebuilds the open Dynamics GP payables and matches each one to Sage Intacct. It reports and never creates a bill.
01
Ask
You give the cutover date, and optionally a vendor.
02
Rebuild
It works out what was open in Dynamics GP at cutover.
03
Match
It matches vendors by ID or name and documents by bill or reference number.
04
Report
You get vendors that do not tie and bills to import, never created.
