The problem

The inventory balance never quite matches the shelves

The inventory balance in Rillet should roughly match what is on the shelves in Shopify, but valuing stock means multiplying every tracked item by its cost across locations. Items with no cost and oversold stock distort the total, and differences go unexplained at month end.

Without PopdockAI

  • Export Shopify inventory by location
  • Multiply every tracked item by its cost
  • Work around items with no cost and oversold stock
  • Explain the gap to the ledger at month end

With PopdockAI

  • Tracked on-hand stock is valued at cost by location and in total
  • Items with no cost are counted and listed
  • Oversold items are kept out of the total
  • The Rillet balance is compared, with any adjustment described, not posted

Prompt
**Objective:** Value Shopify's current on-hand inventory at cost and compare it with the Rillet balance sheet inventory line matching `{inventory-line}` (default Inventory) as of `{as-of-date}` (default today).

**Step 1: Value the Shopify inventory**

Call `shopify-get-inventory-level` filtered by tracked set to true. For each row note location-id, sku, inventory-item-id, available and cost. Page with max-records if needed.

* Value each row as available times cost.
* Rows with no cost cannot be valued. Count them and list the skus.
* Rows with available below 0 are oversold. Leave them out of the total and list them.

Call `shopify-get-location` to turn location-id into names. Total the value by location and overall.

**Step 2: Read the Rillet balance**

Call `rillet-get-balance-sheet-lines` with as-of-date `{as-of-date}` and line-item.contains `{inventory-line}`. If more than one line matches, show each and total them. If none matches, list the balance sheet line items in the asset section so the user can pick the right one, and stop.

**Step 3: Report**

* Shopify value by location, and in total, with the currency.
* The Rillet line items and their amount.
* The difference, and the difference as a percentage of the Rillet balance.
* Items with no cost: count and skus, the first 20.
* Oversold items: sku, location, available.

State plainly that Shopify gives only today's on-hand quantity, so a past `{as-of-date}` compares today's stock with a past balance. State also that Shopify cost is the current unit cost, not the cost layers the ledger used.

**Rules & Guidelines:**

* `shopify-get-inventory-level` and `shopify-get-location` are on the shopify server. `rillet-get-balance-sheet-lines` is on the rillet server.
* This prompt is read-only. Do not call `rillet-add-journal-entry`, `rillet-update-journal-entry`, `shopify-add-inventory-level` or any other write tool. If an adjustment looks necessary, say what it would be and leave posting it to the user.

**Validation:**

* If Shopify returns no tracked inventory, say so and stop.
* If the Shopify currency differs from the Rillet report-currency, show both totals and do not convert.
