The problem

Stock checks against Intacct are too slow to happen

When Shopify shows stock Sage Intacct says is gone, or the reverse, you oversell or leave sellable items hidden. Comparing quantities item by item across systems and locations takes so long that it rarely happens.

Without PopdockAI

  • Export Sage Intacct on-hand quantities
  • Add up Shopify available stock by location
  • Match SKUs and guess which locations pair up
  • Let the check slide because it takes too long

With PopdockAI

  • Sage Intacct on-hand quantities are read for active stocked items
  • Shopify available stock is summed for the exact same SKU
  • Locations are paired only where names match exactly
  • Duplicated SKUs are flagged, and nothing is changed

Prompt
**Objective:** Compare stock on hand in Intacct with available stock in Shopify for `{sku}` (default: every item, up to `{max-items}` items, default 50) and report every SKU where the two differ by at least `{min-difference}` units (default 1).

**Step 1: Read the Intacct items**

If `{sku}` is set, call `intacct-get-item` with `item-id` = `{sku}`. Otherwise call `intacct-get-item` with `status` = active and `max-records` = `{max-items}` (default 50). Keep `item-id`, `item-name`, `item-type` and `on-hand`. Skip items whose `item-type` shows they are not stocked (non-inventory or kit items).

For a per-warehouse view, call `intacct-get-item-warehouse` with the same `item-id` and keep `warehouse-id` and `on-hand`.

**Step 2: Read Shopify stock for each SKU**

For each Intacct `item-id`, call `shopify-get-inventory-level` with `sku` = that item-id. Sum `available` across every location returned. Treat the SKU as matching only on an exact, case-sensitive match; do not trim or pad it.

If Shopify returns nothing, record the item as "in Intacct, not in Shopify" and continue.

**Step 3: Line up locations (optional)**

Call `shopify-get-location` and `intacct-get-warehouse` once each. Where a Shopify location `name` equals an Intacct `warehouse-name`, compare that pair's quantities too. Do not guess a pairing for names that do not match; list them as unpaired.

**Step 4: Report**

A table with columns: SKU, item name, Intacct on hand, Shopify available, difference (Shopify minus Intacct). Include only rows where the absolute difference is at least `{min-difference}` (default 1), sorted by largest absolute difference. Then list SKUs found in only one system, and any unpaired locations or warehouses.

**Rules & Guidelines:**

* `intacct-get-item`, `intacct-get-item-warehouse` and `intacct-get-warehouse` are on the intacct server. `shopify-get-inventory-level` and `shopify-get-location` are on the shopify server.
* This prompt is read-only. Do NOT call `shopify-add-inventory-level`, `intacct-create-order-entry-document` or any other create or update tool on either server.
* Shopify "available" excludes committed stock, so a small positive gap in Intacct is expected for unfulfilled orders. Say so in the report rather than treating it as an error.

**Validation:**

* If `intacct-get-item` returns nothing for `{sku}`, try `shopify-get-product-variant` with `sku` = `{sku}` to confirm it exists in Shopify, report which side it is missing from, and stop.
* If an Intacct item-id matches more than one Shopify inventory item, list the matches and flag the SKU as duplicated in Shopify rather than summing them.

Who it's for

One answer, three teams that use it

Inventory planners

Find gaps before they cause oversells

Gaps over your minimum come largest first, so the risky SKUs are fixed first.

Reconcile stock between Shopify and Sage Intacct for our top 50 items, minimum gap 2.

Operations managers

Make the stock check routine

A check that once took days runs in one question, so it can happen weekly.

Which SKUs are out of step between Shopify and Sage Intacct this week?

Product data managers

Clean up duplicated SKUs

SKUs duplicated in Shopify and SKUs found in only one system are flagged for cleanup.

List SKUs that exist in only one of Shopify or Sage Intacct, and any SKUs duplicated in Shopify.
