The problem

Asset setup mistakes become audit findings

Registering a fixed asset means checking it is not already recorded, picking a class that exists and assigning a real location and an active employee as custodian. Mistakes surface later as audit findings.

Without PopdockAI

  • Search assets by serial number and description
  • Pick a class and location from memory
  • Assign a custodian who may have left
  • Hear about it from the auditors

With PopdockAI

  • Existing assets are searched by serial number and description
  • The class, location and custodian are validated
  • It asks for a class if none is given
  • You preview it, then one asset is created with a depreciation reminder

Prompt
**Objective:** Register the fixed asset `{asset-description}` with the details in `{details}`.

Pass `{company}` as the company argument on every call. If `{company}` is empty, leave the company argument out so the connector's default company is used.

**Step 1: Duplicate check**

If a serial number is given, call `business-central-get-fixed-asset` with serial-number set to it. Also call it with description.contains. Show matches and ask whether to continue.

**Step 2: Check references**

* Class: call `business-central-get-fixed-asset` with class-code to confirm the class is in use; if not, warn that the class may not exist.
* Location: call `business-central-get-location` with location-code, or name.contains.
* Custodian: call `business-central-get-employee` with last-name.contains; the employee must have status Active.

**Step 3: Preview and confirm**

Show display-name, number if given, class-code, subclass-code, fixed-asset-location-code, employee-number and serial-number. Ask for confirmation.

**Step 4: Create**

After confirmation call `business-central-create-fixed-asset` once. If a field needs correcting straight away, use `business-central-update-fixed-asset` with the id it returned; existing assets cannot be updated through these tools because no read returns their id.

**Step 5: Confirm the result**

Call `business-central-get-fixed-asset` with asset-number and report it. Remind the user that acquisition cost and depreciation are set up in Business Central.

**Rules & Guidelines:**

* Do not call any create or update tool until the user has confirmed the exact values shown in the preview.
* Create at most one asset.

**Validation:**

* If no class is given, ask.

Who it's for

One answer, three teams that use it

Fixed asset accountants

Register assets with valid details

Class, location and custodian are checked against real records, so the register stays clean.

Register a new forklift in Business Central, serial FL-20931, class VEHICLES, location WEST, custodian Sam Patel.

IT asset managers

Record new equipment as it arrives

Log laptops and devices with a serial number and an active custodian in one message.

Add a Lenovo laptop, serial PF3KQ8, class IT, location MAIN, custodian Priya Shah, to Business Central fixed assets.

Facilities managers

Avoid registering the same asset twice

Serial number and description searches catch an asset that is already on the register.

Register the new reception furniture set in Business Central and check it is not already recorded.
