Set up Sage Intacct projects and tasks without duplicates
For project managers who want a new project created with the right customer, manager and tasks, by asking their AI assistant.

Connect Sage Intacct, pick your AI tool and paste the prompt.
The problem
Duplicate projects and tasks on the wrong project
Setting up a project in Sage Intacct means checking it does not exist, finding the customer and manager, picking a category and adding each task one by one. A duplicate project or a misplaced task has to be fixed in Intacct afterwards.
Without PopdockAI
- Search for a project with a similar name
- Look up the customer and manager records
- Pick a category and task status
- Add each task by hand
With PopdockAI
- Existing projects with similar names checked first
- One active customer and manager matched
- Category and task status taken from values Intacct uses
- Project and tasks created after you confirm and read back

**Objective:** Set up the project `{project-name}` for the customer `{customer}` (blank for an internal project), managed by `{project-manager}`, with these tasks: {tasks}. Check for an existing project first, and get the user's confirmation before writing.
**Step 1: Check it does not already exist**
Call `intacct-get-project` with `project-name.contains` set to the project name. If a project with the same or a very similar name exists, show it and stop unless the user confirms this is a different project.
**Step 2: Resolve the people**
* Customer: call `intacct-get-customer` with `customer-name.contains`. It must resolve to exactly one active customer; take its `customer-id`.
* Manager: call `intacct-get-employee` with `employee-name.contains`. It must resolve to exactly one active employee; take its `employee-id` as the manager ID.
* Several matches for either: list them and stop.
**Step 3: Settle the values**
* Category is required. Pick one from the values the `category` parameter lists: a contract or billable category when there is a customer, an internal one when there is not. If no values are listed, ask the user.
* Task status is required on every task. Call `intacct-get-task` with `max-records` 20 to see the `task-status` values in use, and use the one that means not started.
* Start date: today unless the user gave one. The tools take MM/DD/YYYY.
* Leave the project ID blank so Intacct numbers it, unless the user gave one.
* Split the tasks on commas. If there are more than 10, confirm the list with the user first.
**Step 4: Confirm**
Show the project name, category, customer and ID, manager and ID, start date, and the task list. Wait for an explicit yes.
**Step 5: Create the project**
Call `intacct-create-project` once. It does not return an ID, so call `intacct-get-project` with `project-name` set to the exact name to get the new `project-id`. If it cannot be found, stop: do not create tasks, and do not create the project again.
**Step 6: Create the tasks**
For each task, call `intacct-create-task` once with the `project-id`, the task name and the task status. If one fails, carry on with the rest and report which failed.
**Step 7: Verify and report**
Call `intacct-get-task` with the `project-id`, and report the project ID and the tasks that now exist.
**Rules & Guidelines:**
* The only writes are `intacct-create-project` once and `intacct-create-task` once per listed task, all after the user confirms.
* Do not call `intacct-update-project` or `intacct-update-task`. Both need a record number that no read tool on this server returns, so a mistake has to be fixed in Intacct directly. Say so if one happens.
* Do not call `intacct-create-customer` for a missing customer. Stop instead.
* If the user names an Intacct company, pass it as `company` on every call.
**Validation:**
* If the customer or manager is not found, say which and stop.
* If no tasks were given, create the project only.Who it's for
One answer, three teams that use it
Project managers
Set up a project and its tasks at once
Give the project and task list in one message and confirm the setup.
Set up the Fabrikam Data Migration project in Intacct for Fabrikam Inc, managed by Sam Patel, with tasks Scope, Migrate and Test.
Project accountants
Avoid duplicate projects
Similar project names are checked first, so time and costs land on one project.
Is there already an Intacct project like Northwind Training 2027? If not, set it up.
PMO leads
Keep project setup consistent
Category and task status come from values Intacct already uses.
Create the Contoso Support Retainer project in Intacct with a single task called Support.
How it works
What PopdockAI does when you ask
You give the project name, customer, manager and tasks, and your AI assistant checks Sage Intacct before building the setup. Nothing is created until you confirm, and tasks are added only once the project is found.
01
Ask
You give the project name, customer, manager and task list.
02
Check
It looks for a similar project and matches one active customer and manager.
03
Confirm
You see the full setup, including category and task status, and say yes.
04
Create
It creates the project and tasks and reads them back.
