The problem

Won deals become duplicate or premature projects

When a deal is won in Capsule CRM, someone opens a project for the customer, links it and books a kickoff. Done by hand, projects get created for deals that are not really won, or twice for the same deal.

Without PopdockAI

  • Check the deal is really won
  • Look for a project already linked to it
  • Create the project and link it by hand
  • Book the kickoff task separately

With PopdockAI

  • It stops if the deal is not at a won milestone
  • The customer, owner and any linked project are found
  • You see the project and kickoff task and confirm first
  • The deal itself is left untouched

The prompt

Use this prompt

Copy it into any AI tool connected to PopdockAI. Swap the values in braces for your own.

Prompt
**Objective:** Create a project for the won opportunity `{opportunity-name}`, named `{project-name}` (default: the opportunity's name), and if `{kickoff-date}` is given, add a kickoff task due that day.

**Step 1: Find the deal**

Call `capsule-crm-get-opportunity` with name.contains = {opportunity-name}. If more than one matches, list them and stop and ask. Keep the opportunity-id, name, party-name, party-organization-name, owner-name and milestone-name.

**Step 2: Check it is won**

Call `capsule-crm-get-milestone` with name = the deal's milestone-name. It must be complete with probability 100. If it is not, stop and tell the user the deal is not won; they can run the move-opportunity-stage prompt first.

**Step 3: Resolve the customer and owner**

* The opportunity read returns no party-id. Call `capsule-crm-get-party` with name = the deal's party-name to get it. If that fails or is ambiguous, try party-organization-name, then ask.
* Call `capsule-crm-get-user` with name = the deal's owner-name and keep the user-id.

**Step 4: Check for an existing project**

Call `capsule-crm-get-case` with party-name = the customer's name. If any project's opportunity-name equals this deal's name, show it and stop.

**Step 5: Confirm**

Show: project name, customer, source opportunity, owner, and the kickoff task (description such as "Kick off <project name>", due date, owner) if any. Wait for an explicit yes.

**Step 6: Write**

1. Call `capsule-crm-add-case` once, with name, party-id, opportunity-id, owner-id and a one-line description naming the deal.
2. If {kickoff-date} is given, call `capsule-crm-get-case` with name = the project name to get the new case-id, then call `capsule-crm-add-task` once, with description, due-on = {kickoff-date}, case-id and owner-id.

**Step 7: Verify**

Report the new project's case-id and status, and the kickoff task if created.

**Rules & Guidelines:**

* The only write tools this prompt may call are `capsule-crm-add-case` and `capsule-crm-add-task`, each once, after confirmation.
* Do not call `capsule-crm-update-opportunity`; the deal stays as it is.

**Validation:**

* If the project is created but its case-id cannot be found, do not create the task; report the project and ask the user to add the task manually.
