The problem

Sales totals that include orders nobody paid for

A WooCommerce sales summary means adding up orders, discounts, shipping and refunds, leaving out failed and canceled orders, and pulling top products and new customers. Done by hand, the totals often include orders that never paid.

Without PopdockAI

  • Export orders for the period
  • Remove failed and canceled ones by hand
  • Add up discounts, shipping and refunds
  • Report totals that include unpaid orders

With PopdockAI

  • Orders, refunds, lines and new accounts are read
  • Only completed, processing, on-hold and refunded orders count
  • Net sales, average order value and top products are reported
  • Excluded orders are marked, and nothing is changed

Prompt
**Objective:** Produce a sales summary for the WooCommerce store from `{date-from}` to `{date-to}` (default today).

**Step 1: Orders**

Call `woocommerce-get-order` with `created-date.from` = `{date-from}`, `created-date.to` = `{date-to}` and `max-records` 2000. Treat orders with status `completed`, `processing`, `on-hold` and `refunded` as sales. Exclude `pending`, `failed`, `cancelled` and `trash` orders from every total.

**Step 2: Refunds**

Call `woocommerce-get-refund` with the same date range. Use the absolute value of `amount`.

**Step 3: Products**

Call `woocommerce-get-order-line` with `date-created.from` and `date-created.to` for the same range and `max-records` 5000. Keep lines whose `order-status` counts as a sale. Group by `line-sku` (fall back to `line-name`), summing `line-quantity` and `line-total`.

**Step 4: New customers**

Call `woocommerce-get-customer` with `created-date.from` and `created-date.to` for the range. That is new registered accounts only; guests are not counted.

**Step 5: Report**

1. Headline: net sales, order count and AOV for the period.
2. Summary table: orders, gross sales (sum of `total`), discounts (`discount-total`), shipping (`shipping-total`), refunds, net sales (gross minus refunds), AOV (gross / orders).
3. Orders by status, including the excluded ones with their count, marked as not counted.
4. Top 10 products by revenue: name, SKU, units, revenue, share of line revenue.
5. New registered customers.
6. If the range is over 14 days, a weekly breakdown of orders and gross sales.

**Rules & Guidelines:**

* This prompt is read-only. Do not call any write tool: `woocommerce-add-order`, `woocommerce-update-order`, `woocommerce-add-order-note`, `woocommerce-send-order-details`, `woocommerce-add-refund`, `woocommerce-add-customer`, `woocommerce-update-customer`, `woocommerce-add-product`, `woocommerce-update-product`, `woocommerce-update-product-variation`, `woocommerce-add-coupon`, `woocommerce-update-coupon`.
* Do not use `woocommerce-get-report-top-sellers` for this; it has no date filter, so it cannot describe the chosen period.
* Pass `max-records` explicitly (500 unless stated otherwise). If a read returns exactly that many rows, say the result may be truncated and that totals are a lower bound.
* If the rows carry more than one `currency`, report each currency separately. Never add amounts across currencies.
* Gross sales includes tax and shipping, because order `total` does. Say so under the table.

**Validation:**

* If `{date-from}` is not a valid date, ask for one and stop. If `{date-to}` is empty, use today.
* If there are no orders in the range, say so and stop.
