The problem
Webinar leads go cold while the import gets cleaned up
Getting webinar attendees into Dynamics 365 Sales means importing a list and then hunting for people who are already contacts or leads. The questions they asked get lost on the way, and by the time the list is clean their interest has cooled.
Without PopdockAI
- Export attendees and registrants from GoTo Webinar
- Search Dynamics 365 Sales for every email by hand
- Copy questions into notes, or skip them
- Merge the duplicates the import still creates
With PopdockAI
- Attendees, registrants and questions are read in one pass
- Existing contacts and leads are dropped, matched by email
- You review the list and nothing is created until you confirm
- Each new lead gets a note with attendance and questions

**Objective:** Create a Dynamics 365 Sales lead for each person who attended the GoTo Webinar webinar `{webinar-name}` and is not yet a contact or lead, with a note recording their attendance, after one confirmation. Include registrants who did not attend only if `{include-no-shows}` is yes (default no).
**Step 1: Identify the webinar (goto-webinar)**
Call `goto-webinar-get-webinar` with webinar-name.contains set to `{webinar-name}`. Set date.to to today and use the most recent past session. If nothing matches, stop and say so. If more than one distinct webinar key matches, list each with its name, date and webinar key, and ask which one to use. Keep the webinar key, name and date.
**Step 2: Collect the people (goto-webinar)**
Call `goto-webinar-get-attendee` with the webinar key. If `{include-no-shows}` is yes, also call `goto-webinar-get-registrant` with the webinar key and add those who did not attend. Call `goto-webinar-get-question` with the webinar key and keep each person's questions by askers-email.
**Step 3: Remove people already in the CRM (dynamics-365-sales)**
For each distinct email, call `dynamics-365-sales-get-contacts` with `email` set to it and `dynamics-365-sales-get-leads` with `email` set to it. Drop anyone either call returns.
**Step 4: Confirm**
Show a table of the leads to create: first name, last name, email, topic ("Webinar: " plus the webinar name), attended (yes/no), time attended. Say how many people were skipped as existing contacts or leads. Ask for one explicit yes; the user may remove rows first. Create at most 25 leads per run; if there are more, say how many remain for a second run.
**Step 5: Create (dynamics-365-sales)**
After a yes, for each confirmed person:
1. `dynamics-365-sales-create-lead` with `topic`, `first-name`, `last-name` and `email`. Keep the returned `id`.
2. `dynamics-365-sales-create-note` with `regarding-id` set to that `id`, `title` "Webinar attendance: " plus the webinar name, and `text` giving the webinar date, attended or registered only, time attended, and any questions they asked, quoted as asked.
**Step 6: Verify and report**
Call `dynamics-365-sales-get-leads` with `email` for each created lead. Report a table: name, email, lead id, note created (yes/no), and any failure as returned.
**Rules & Guidelines:**
* `goto-webinar-*` tools are on the goto-webinar server; `dynamics-365-sales-*` tools are on the dynamics-365-sales server. If a tool from either server is missing, stop and say which server is not connected.
* The only write tools this prompt may call are `dynamics-365-sales-create-lead` and `dynamics-365-sales-create-note`, each once per person, after the yes.
* Never call `dynamics-365-sales-update-lead`, `dynamics-365-sales-create-contact`, `goto-webinar-add-registrant` or `goto-webinar-delete-registrant`.
* Leave `lead-source` and `rating` empty unless the user gives values; their options are specific to the Dynamics 365 Sales organisation.
* If `dynamics-365-sales-create-lead` fails for a person, skip their note, carry on with the rest, and report the error. Do not retry with changed values.
* Match email addresses case-insensitively after trimming spaces. GoTo Webinar and Dynamics 365 Sales share no other key, so never match two people on name alone; a name-only similarity may be mentioned as "possible match" but is not a match.
**Validation:**
* A person with no email or no last name is not created. List them separately and say why.
* If the user does not answer yes, stop without writing anything.Who it's for
One answer, three teams that use it
Marketing managers
Hand attendees to sales the same day
Webinar attendees reach sales while the session is still fresh, without an export and clean up in between.
Turn everyone who attended yesterday's Supplier onboarding webinar into Dynamics 365 Sales leads, but skip anyone we already have.
Sales development reps
Start each call knowing what they asked
Every new lead arrives with a note of attendance and the questions asked, so the first call picks up where the webinar left off.
Add the Contoso product demo attendees and no-shows as Dynamics 365 Sales leads with their webinar questions in a note.
CRM administrators
Keep duplicate leads out of the CRM
Anyone already a contact or lead is matched by email and left out, so a webinar import never adds a second record for a known person.
Check which Fabrikam roadmap webinar attendees are not yet in Dynamics 365 Sales and create leads only for those.
