The problem

Campaign revenue that ignores refunds and cancellations

Mailchimp credits revenue to a campaign when the order is placed and rarely reflects later cancellations or refunds in Shopify. Checking means finding each order in Shopify by customer and amount, since the two share no order number.

Without PopdockAI

  • Export the orders Mailchimp credits to the campaign
  • Search Shopify for each one by email, total and date
  • Check every order for cancellations and refunds
  • Rebuild the totals per currency in a spreadsheet

With PopdockAI

  • Attributed orders are read for the campaign you name
  • Each order is matched in Shopify, with ambiguous matches noted
  • Cancellations and refunds are counted per currency
  • Neither Mailchimp nor Shopify is changed

Prompt
**Objective:** Take the e-commerce orders Mailchimp attributes to the campaign or automation named `{campaign-name}`, find each one in Shopify, and report how much of the attributed revenue is still good once cancellations and refunds are counted.

**Step 1: Attributed orders in Mailchimp**

Call `mailchimp-get-order` with `outreach-name.contains` = `{campaign-name}`. Note for each order `customer-email-address`, `order-total`, `currency-code`, `outreach-name`, `outreach-type` and `outreach-publish-date`. If the orders carry more than one distinct `outreach-name`, list the names and ask the user which one they mean before continuing. If none come back, call `mailchimp-get-campaign` with `title.contains` = `{campaign-name}` to say whether the campaign exists but has no attributed orders, and stop.

**Step 2: Find each order in Shopify**

For each Mailchimp order, call `shopify-get-order` with `email` = `customer-email-address` and `created-at.from` = `outreach-publish-date`. Match on `total-price` equal to the Mailchimp `order-total` (within 0.01) and the same currency. If several Shopify orders match, take the earliest after the publish date and note the ambiguity. If none match, mark the order "not found in Shopify".

**Step 3: Cancellations and refunds**

For each matched Shopify order, note `financial-status` and `cancelled-at`. For orders whose `financial-status` is refunded or partially_refunded, call `shopify-get-refund` with `order-id` and list each refund's `processed-at` and `note`.

**Step 4: Report**

* Totals by currency: Mailchimp attributed revenue, revenue on orders confirmed in Shopify, revenue on cancelled orders, revenue on refunded and partially refunded orders, and revenue on orders not found.
* A table of every order: customer email, Mailchimp total, Shopify `order-number`, `financial-status`, cancelled yes or no.
* One sentence on how far the Mailchimp figure overstates kept revenue.

**Rules & Guidelines:**

* `mailchimp-*` tools are on the mailchimp server; `shopify-*` tools are on the shopify server.
* The two systems share no order number in these tools; the join is customer email plus order total plus date. Say so in the report.
* Read-only. Do NOT call `mailchimp-update-order`, `shopify-update-order` or any other add or update tool on either server.

**Validation:**

* Never add amounts in different currencies together.
* If more than a quarter of orders are not found in Shopify, warn that the store connected to Mailchimp may not be this Shopify store, and check `mailchimp-get-store` for its `platform` and `domain`.
