The problem

Re-keyed vendors that split bills and payments

Setting up in Intacct a vendor that already exists in Ramp means re-keying the name, choosing an id and checking for a similar vendor first. A typo or skipped search leaves a duplicate that later splits bills and payments.

Without PopdockAI

  • Look up the vendor in Ramp
  • Search Intacct for anything similar
  • Pick a vendor id and re-key the name
  • Untangle bills split across duplicates

With PopdockAI

  • The Ramp vendor read, with a stop if several match or it is inactive
  • Intacct searched for a similar vendor, with a stop on a match
  • Vendor id, name and print as value shown before you confirm
  • Created once, never retried, then read back

Prompt
**Objective:** Create in Intacct the vendor that exists in Ramp under the name `{vendor-name}`, only after confirmation.

**Step 1: Read the Ramp vendor**

Call `ramp-get-vendor` (Ramp server) with `name` set to `{vendor-name}`; if nothing matches use `name.contains`. If several match, list them and stop. Keep name, id, vendor-country and active.

**Step 2: Check Intacct**

Call `intacct-get-vendor` (Intacct server) with `vendor-name.contains` set to the Ramp name. If any vendor looks the same, report it and stop. Do not create a duplicate.

**Step 3: Confirm**

Show the user the vendor-id you will use (`{new-vendor-id}`, or if empty an uppercase version of the name without spaces, at most 20 characters), the name, and the print-as value (the name). Ask for an explicit yes. Do nothing until the user says yes.

**Step 4: Create and verify**

After a yes, call `intacct-create-vendor` (Intacct server) once with vendor-id, name and print-as. Then call `intacct-get-vendor` with that vendor-id and report what was stored.

**Rules & Guidelines:**

* `intacct-create-vendor` is the only write tool allowed, and only after the yes. Do not call any Ramp write tool such as `ramp-vendor-add` or `ramp-vendor-update`.

**Validation:**

* If the Ramp vendor is not found or is inactive, stop and say so.
* If the create call fails, report the error and do not retry.
