The problem

Reps reach out with no idea who sat through the webinar

Webinar attendance rarely makes it into Capsule CRM, so reps reaching out later do not know a contact sat through a full session or asked a pointed question. Adding notes one by one is slow and easy to duplicate.

Without PopdockAI

  • Export attendance and questions from GoTo Webinar
  • Add up minutes across sessions by hand
  • Find each contact in Capsule CRM
  • Write a note per person and risk doubling up

With PopdockAI

  • Minutes are totalled across sessions
  • Attendees are matched by email and ambiguous ones listed
  • Contacts already noted for this webinar are skipped
  • You see each note and nothing is saved until you confirm

Prompt
**Objective:** For the webinar `{webinar}` (on `{webinar-date}` if given), add one note to the Capsule CRM history of each attendee who is a Capsule contact, recording that they attended, for how long and what they asked. Confirm before writing.

**Step 1: Find the webinar on GoTo Webinar**

Call `goto-webinar-get-webinar` with `webinar-name.contains` set to `{webinar}` (or `webinar-key` if `{webinar}` is a numeric key). If `{webinar-date}` is given, also set `date.from` and `date.to` to that date. If more than one webinar matches, list each with its name, date and webinar key and stop. If none matches, say so and stop. Keep its `webinar-key`, name and date.

**Step 2: Read attendance and questions**

Call `goto-webinar-get-attendee` with that `webinar-key` and group rows by email, adding up `total-time-attended`. Call `goto-webinar-get-question` with the same `webinar-key` and group questions by `askers-email`. If nobody attended, say so and stop.

**Step 3: Match to Capsule CRM**

Match each email to Capsule CRM by calling `capsule-crm-get-party` with `email` set to it. Compare emails case-insensitively; if the exact value finds nothing, retry once in lower case. A person can have several emails in Capsule and the filter may only see one of them, so treat no match as "not found by email", never as proof they are not a contact.

Keep people with exactly one match. For each, call `capsule-crm-get-entry` with `party-id` and `subject.contains` set to the webinar name to check whether this webinar has already been logged; skip anyone already logged.

**Step 4: Confirm the plan**

List each note to be added: contact, email, minutes attended, number of questions, and the note text. The note text is: "Attended GoTo webinar <name> on <date> for <minutes> minutes." followed by each question asked, one per line. Show the plan as a table and ask the user to confirm. Do not write anything until they say yes. If they remove rows, drop those rows.

**Step 5: Write and report**

For each confirmed row, call `capsule-crm-add-note` once with `party-id` and `content`. Do not pass `opportunity-id` or `case-id`. Then report: notes added, attendees skipped as already logged, attendees not found in Capsule, attendees skipped because several parties matched, and any write that failed with its error.

**Rules & Guidelines:**

* `capsule-crm-*` tools are on the capsule-crm server; `goto-webinar-*` tools are on the goto-webinar server. If either set is missing, say which server is not connected and stop.
* The only write tool this prompt may call is `capsule-crm-add-note`, once per confirmed contact. Do NOT call `capsule-crm-add-party`, `capsule-crm-update-party`, `capsule-crm-add-task`, `goto-webinar-add-registrant` or `goto-webinar-delete-registrant`.
* Do not create contacts for unmatched attendees; list them and point to the add-webinar-leads prompt.

**Validation:**

* If Capsule returns more than one party for an email, do not guess; list it as ambiguous.
* The already-logged check matches on subject only, so also skip anyone whose recent entries mention the webinar name in their content.
* If a write fails, carry on with the rest and report the failures at the end.
