The problem

Hot subscribers waiting for someone to notice

When a Drip subscriber's lead score climbs, sales should follow up, but the hand off depends on someone noticing. Creating the task means finding the Salesforce contact or lead and checking for an open task, and missing the check means two calls to one prospect.

Without PopdockAI

  • Watch Drip lead scores by hand
  • Find each subscriber in Salesforce
  • Check whether a rep already has an open task
  • Write the task without the Drip context

With PopdockAI

  • Hot subscribers are matched to Salesforce contacts or leads
  • Anyone with an open task is skipped and the task noted
  • Unknown or ambiguous emails are listed, not guessed
  • One high priority task each, only after you confirm

Prompt
**Objective:** Hand sales the Drip subscribers with a lead score of at least `{min-lead-score}` (default 75) by creating a Salesforce follow-up task for each one that is a Salesforce contact or lead and has no open task. Tasks are due in `{due-in-days}` days (default 2).

**Step 1: Hot subscribers in Drip**

Call `drip-get-subscriber` with `status` set to active, `lead-score.min` set to the minimum score and `max-records` set to 50. Keep `email`, `first-name`, `last-name`, `lead-score`, `lifetime-value` and `tags`. If nothing comes back, report that and stop.

**Step 2: Find each one in Salesforce**

Call `salesforce-get-contact` with `email`; if no contact, call `salesforce-get-lead` with `email`. Keep the `contact-id` or `lead-id`, the owner and the account or company. Subscribers with neither go under not in Salesforce; do not create tasks for them.

**Step 3: Skip anyone already being followed up**

Call `salesforce-get-task` with `name-id` set to the contact or lead id and `closed` set to false. If any open task comes back, skip the person and note the existing task's `subject` and `due-date`.

**Step 4: Plan and confirm**

Show the user a table: name, email, lead score, contact or lead, Salesforce owner, due date. Ask the user to confirm. Do not create any task until they say yes.

**Step 5: Create tasks**

For each confirmed row, call `salesforce-add-task` with:

* `who-id`: the contact or lead id
* `subject`: Follow up: Drip lead score <score>
* `due-date`: today plus the due-in days, as an ISO date
* `priority`: High
* `comments`: the Drip lead score, lifetime value and tags

Leave `assigned-to-id` out so the task goes to the connected user, unless the user names someone.

**Step 6: Report**

Counts for tasks created (with their Salesforce `id`), skipped for an open task, not in Salesforce, and failed.

**Rules & Guidelines:**

* `drip-get-subscriber` is on the Drip server; `salesforce-get-contact`, `salesforce-get-lead`, `salesforce-get-task` and `salesforce-add-task` are on the Salesforce server.
* `salesforce-add-task` is the only tool that may write, and only after confirmation in Step 4. Do NOT call `salesforce-update-task`, `salesforce-add-lead` or `salesforce-update-lead`, and do NOT write to Drip.

**Validation:**

* Compare emails case-insensitively. If an email matches several contacts, list them and skip that person rather than guess.
* Never create two tasks for the same person in one run.
