The problem

New Ramp users get duplicate accounts or too much access

Inviting someone to Ramp means looking up the role and department by name, checking they do not already have an account and choosing the right access. A slip creates a duplicate user or hands out more access than intended.

Without PopdockAI

  • Search Ramp for an existing user
  • Look up the role and department by name
  • Pick an access level from memory
  • Send an invite that duplicates a user or over-grants

With PopdockAI

  • Existing users checked by name, with a stop on a match
  • The role and department confirmed, with options listed if unclear
  • No guessed location or manager
  • One invitation after you confirm, then checked as invited

Prompt
**Objective:** Invite `{full-name}` ({email}) to Ramp with role `{role-name}` and, if given, department `{department-name}`.

**Step 1: Check for an existing user**

Call `ramp-get-user` with `first-name` and `last-name` from the full name. If a matching user already exists, show it and stop.

**Step 2: Resolve the references**

* Call `ramp-get-role` with `name` and confirm the role exists. If not, list roles and stop.
* If a department was given, call `ramp-get-department` with `name` and use its id. If several match, list them and stop.
* Do not guess a location or manager. Leave them out unless the user names them.

**Step 3: Confirm**

Show first name, last name, email, role and department. Ask the user to confirm. Do nothing further until they say yes.

**Step 4: Invite**

Call `ramp-user-add` once, with a freshly generated UUID as `idempotency_key`. Then call `ramp-get-user` to confirm the user now shows as invited and report their id.

**Rules & Guidelines:**

* `ramp-user-add` is the only write tool allowed, and only after confirmation. Never call it twice.
* Never grant an administrative role unless the user named it explicitly.

**Validation:**

* If the email looks invalid, stop and ask.

Who it's for

One answer, three teams that use it

IT administrators

Invite new starters in one message

Role and department are resolved for you, and the invite is checked as sent.

Invite Sam Patel, sam.patel@contoso.com, to Ramp as an Employee in Engineering.

Finance operations

Keep admin access deliberate

Admin roles are only given when you name them, so nobody gets more access by accident.

Add Priya Shah, priya@fabrikam.com, to Ramp as a Bookkeeper in Finance.

HR coordinators

Avoid duplicate user accounts

Ramp is checked for the person first, so a rehire or name clash does not create a second user.

Is Jordan Lee already in Ramp? If not, invite jordan.lee@northwindtraders.com as an Employee.

How it works
