The problem

Rekeying gifts invites double posting and bad accounts

Getting a period of Bloomerang gifts into Business Central means rekeying each fund designation as a journal line against the right G/L account. It is slow, and it is easy to post a gift twice or to a blocked account.

Without PopdockAI

  • Export gifts and designations from Bloomerang
  • Rekey each one as a journal line
  • Check accounts are open for posting
  • Post a gift that was already there

With PopdockAI

  • Gifts and fund designations are read, leaving out refunds
  • Gifts already in Business Central are skipped and every account checked
  • You see each planned line and the total, then confirm
  • One journal is created, read back and left unposted for review

The prompt

Prompt
**Objective:** Create a new Business Central general journal in company `{company}` (blank means the connector's default company) holding the Bloomerang gifts dated `{date-from}` to `{date-to}` that are not already in Business Central, with each gift's designations credited to their fund's G/L account and debited to the deposit account `{deposit-account}`. The journal is left unposted for review.

**Step 1: Read the gifts (Bloomerang)**

Call `bloomerang-get-transaction` with `date.from` = `{date-from}` and `date.to` = `{date-to}`. Skip transactions where `refunded` is true. If more than 200 remain, report the count and ask for a shorter period.

For each transaction, call `bloomerang-get-designation` with `transaction-id` set to its `id`. Call `bloomerang-get-fund` once to map each `fund-name` to its `general-ledger-class`.

**Step 2: Drop gifts already in Business Central**

Each gift's document number is `BLM` followed by its `transaction-number`. Call `business-central-get-general-ledger-entry` and then `business-central-get-general-journal-line` with `document-number` set to that value. Skip any gift either one returns. Pass `{company}` as `company` on every Business Central call; omit it when blank.

**Step 3: Check the accounts (Business Central)**

Call `business-central-get-account` for `{deposit-account}` and for each fund GL class the remaining gifts use. Any account that is missing, blocked or has direct posting off stops the gifts that need it; list them and leave them out.

**Step 4: Show the plan and wait**

Show a table of the lines to be created: document number, posting date, fund, G/L account, description (`Gift <transaction-number> - <fund>`), and amount. Show the total, the count of skipped gifts and why. Ask the user to confirm. Do not write anything until they confirm in their next message.

**Step 5: Create the journal and lines (Business Central)**

After confirmation, call `business-central-create-journal` once with `code` = `BLM` followed by `{date-to}` written as MMDD (for example `BLM0915`), `display-name` = `Bloomerang gifts {date-from} to {date-to}`, and `template-display-name` = `GENERAL`. Keep the returned `id`.

Then, for each designation, call `business-central-create-journal-line` with `journal-id` = that id, `posting-date` = the gift date, `document-number` = the gift's `BLM` number, `external-document-number` = the transaction number, `account-type` = G/L Account, `account-number` = the fund's GL class, `amount` = the designation amount as a negative number (a credit), `balance-account-type` = G/L Account, `balancing-account-number` = `{deposit-account}`, and the description from Step 4.

**Step 6: Confirm**

Call `business-central-get-general-journal-line` with `journal-batch-name` set to the new journal code and compare the line count and total with the plan. Report the journal code, lines created, total, and any line that failed. Remind the user the journal is unposted and must be reviewed and posted in Business Central.

**Rules & Guidelines:**

* `bloomerang-get-transaction`, `bloomerang-get-designation` and `bloomerang-get-fund` are on the bloomerang server. Every other tool here is on the business-central server.
* The only write tools this prompt may call are `business-central-create-journal` (once) and `business-central-create-journal-line`, and only after the user confirms Step 4.
* Do NOT call `business-central-update-journal-line`, `business-central-update-journal`, `bloomerang-update-transaction` or any Bloomerang add or update tool. Nothing is written back to Bloomerang.

**Validation:**

* If no gifts remain after Steps 1 and 2, say everything in the period is already in Business Central and stop without creating a journal.
* If `business-central-create-journal` fails because the code exists, report it and ask the user for another code rather than adding lines to the existing journal.
* If the GENERAL template is rejected, ask the user for the right journal template name.
* If a designation amount is zero or missing, leave that line out and list it.
