The problem

Campaign reports understate what the webinar really did

A webinar's Salesforce campaign should reflect who registered and attended, but members get added late, responses go unmarked and some registrants never make it in. Campaign reports then understate the event's influence on pipeline.

Without PopdockAI

  • Export registrants and attendees from GoTo Webinar
  • Export campaign members from Salesforce
  • Compare the lists by email in a spreadsheet
  • Check each responded flag by hand

With PopdockAI

  • Registrants, attendees and campaign members are read together
  • Everyone is matched by email and placed in one group
  • Wrong responded flags, duplicates and missing emails are listed
  • The biggest gap is named, and nothing is changed

Prompt
**Objective:** Reconcile the GoTo Webinar webinar `{webinar}` with its Salesforce campaign `{campaign}` (if blank, the campaign whose name matches the webinar name) and report every person who is in one system and not the other.

**Step 1: Find the webinar**

Call `goto-webinar-get-webinar` (GoTo Webinar) with `webinar-name.contains` set to `{webinar}`. If `{webinar}` is all digits, filter by `webinar-key` instead. If more than one webinar matches, list each one's webinar-name, date and webinar-key and stop so the user can choose. If none match, say so and stop. Keep the `webinar-key`, `webinar-name` and `date`.

**Step 2: Read the webinar's people**

Call `goto-webinar-get-registrant` (GoTo Webinar) with `webinar-key`. Then call `goto-webinar-get-attendee` (GoTo Webinar) with the same `webinar-key`. Key both lists by `email`. A registrant with no attendee row is a no-show.

**Step 3: Find the campaign**

If `{campaign}` is set, call `salesforce-get-campaign` (Salesforce) with `name.contains` set to it. If it is blank, call `salesforce-get-campaign` with `name.contains` set to the webinar-name from Step 1, and if that finds nothing, retry with the webinar-name's first three words. If more than one campaign matches, list each one's name, start-date and campaign-id and stop. If none match, report that the webinar has no Salesforce campaign, list its registrants and attendees, and stop.

**Step 4: Read the campaign members**

Call `salesforce-get-campaign-member` (Salesforce) with `campaign-id`. Key the members by `email`. Members with a blank email cannot be matched; count them and list them separately.

**Step 5: Compare**

Put every email into one of these groups:
- **In both, attended**: registrant attended and is a campaign member. Flag it when the member's `responded` is false, because Salesforce under-reports the response.
- **In both, no-show**: registered, did not attend, is a campaign member. Flag it when `responded` is true.
- **Webinar only**: registered or attended, not a campaign member.
- **Campaign only**: campaign member who never registered.

**Step 6: Report**

Start with one line of counts per group. Then give a table per group with: email, name, GoTo status (registered, attended with minutes, or none), campaign member status and responded. End with a short note on the biggest gap and what would close it, without doing it.

**Rules & Guidelines:**

* Tools starting goto-webinar- are on the GoTo Webinar server; tools starting salesforce- are on the Salesforce server. Both servers must be connected. If a tool from either one is missing, say which server is not connected and stop.
* This prompt is read-only. Do NOT call `salesforce-add-lead`, `salesforce-add-contact`, `salesforce-add-task`, `salesforce-update-lead`, `salesforce-update-contact`, `salesforce-update-campaign`, or any other Salesforce add or update tool. Do NOT call `goto-webinar-add-registrant` or `goto-webinar-delete-registrant`.
* Compare emails case-insensitively and trimmed. Do not match people on name.

**Validation:**

* If the webinar has no registrants, say so and stop before reading Salesforce.
* If an email appears twice in one system, list it once and note the duplicate.
* GoTo names are split into first-name and last-name; Salesforce gives one name. Show both as they come back and do not treat a spelling difference as a mismatch when the email matches.
