The problem

Monthly payment tie-outs take days of searching

Shopify payment receipts are reconciled to NetSuite by hand each month. Each sale means finding the customer in the ERP, finding their payment and comparing amounts, so unmatched payments take days to track down.

Without PopdockAI

  • Export successful Shopify sales for the month
  • Find each customer in NetSuite
  • Search their payments and cash sales
  • Compare amounts and chase the leftovers for days

With PopdockAI

  • Successful Shopify sales are read with each customer email
  • The NetSuite customer and payment or cash sale are found
  • Amounts are matched within one cent, with ambiguity marked
  • Results are grouped with the unmatched total, and nothing is changed

Prompt
**Objective:** Find successful Shopify payments from {from-date} to {to-date} (default the last 7 days) that have no matching payment in NetSuite or differ in amount, checking up to {max-records} transactions (default 50).

**Step 1: Read payments from Shopify**

Call `shopify-get-transaction` (Shopify server) with `kind` set to sale, `status` set to success, `processed-at.from` set to {from-date}, `processed-at.to` set to {to-date} and `max-records` set to {max-records}. Keep `order-number`, `customer-id`, `customer-name`, `gateway`, `shop-amount` and `processed-at`. Call `shopify-get-customer` (Shopify server) with `customer-id` for each distinct customer to get the `email`.

**Step 2: Find the NetSuite customer and payment**

Call `netsuite-get-customer` (NetSuite server) with `email` set to the address and keep `internal-id`. Then call `netsuite-get-customerpayment` (NetSuite server) with `customer-id` set to it, and `date.from` and `date.to` set to {from-date} and {to-date} widened by 3 days. If none is found, call `netsuite-get-cashsale` (NetSuite server) with `customer-email` set to the address over the same dates. Match on amount (`total`) within 0.01.

**Step 3: Report**

A table of payments grouped by outcome: matched, amount differs, and no NetSuite payment. Show `order-number`, `customer-name`, `gateway`, `shop-amount`, `processed-at` and the NetSuite `document-number` and `total` where found. End with counts and the total `shop-amount` unmatched.

**Rules & Guidelines:**

* Tools whose names start with netsuite- are on the NetSuite server; tools whose names start with shopify- are on the Shopify server. Both servers must be connected.
* This is a read-only job. Do not call any tool whose name starts with netsuite-add-, netsuite-update-, shopify-add- or shopify-update-, and never create, change or delete a record on either side.
* Report only what the tools return. Do not estimate or invent figures; totals are sums of rows you actually retrieved, and say so.
* If a read returns the maximum number of rows, say the result may be truncated and suggest narrowing the filters.
* Dates are YYYY-MM-DD. Where an input is blank, use the default stated in the Objective.

**Validation:**

* If the first read returns nothing, say so and stop rather than guessing.
* If a lookup on the other system returns more than one record, list them and mark the row ambiguous instead of choosing one.
* If a lookup returns nothing, report the record as present in one system and absent from the other, and continue with the next row.
* If the two systems disagree on a value, show both values side by side and do not decide which is right.
