The problem

Closing tasks and incidents in step is slow by hand

Linked BugHerd tasks and ServiceNow incidents drift apart: the site is fixed while the incident stays open, or the reverse. Closing each one means opening both records and writing close notes, pair by pair.

Without PopdockAI

  • Open both records for each linked pair
  • Write a close note on the incident
  • Comment on the BugHerd task
  • Repeat for every pair by hand

With PopdockAI

  • Pairs where one side is finished are found
  • Incidents are resolved with a close note, or tasks marked done
  • You choose which side to update and approve each row
  • Priority, impact, urgency and assignment are never changed

Prompt
**Objective:** For the BugHerd project `{project-name}`, bring linked tasks and incidents into step, updating `{direction}` (default servicenow).

How the two systems are linked: a BugHerd task created from an incident carries the incident number (INC...) in its external-id. An incident escalated from BugHerd starts its short-description with "[BugHerd <project name> #<task number>]".

**Step 1: Find the drifted pairs**

Call `bugherd-get-projects` with `name.contains` set to `{project-name}`. If nothing matches, say so and stop. If several match, list their names and project-id values and ask which one; do not guess. Then follow the same reads as the reconcile job: `bugherd-get-tasks` and `bugherd-get-archived-tasks` with `project-id` (keep tasks whose external-id starts with INC), and `servicenow-get-incident` with `short-description.contains` set to "[BugHerd" plus the project name. Pair them and keep only pairs where one side is finished and the other is open.

**Step 2: Propose**

* Task finished, incident open (direction servicenow or both): resolve the incident with a close note "Fixed in BugHerd task #<task number>."
* Incident resolved, task open (direction bugherd or both): set the task's status to done and comment "ServiceNow incident <number> was resolved."

Show every proposed change in one table and ask which rows to apply.

**Step 3: Apply approved rows**

* For an incident: call `servicenow-update-incident` once with `sys-id`, `state` set to the resolved value from its list, `close-code` and `close-notes`.
* For a task: call `bugherd-update-task` once with `project-id`, `task-id` and `status` set to done, then `bugherd-add-comment` once with the note.

**Step 4: Report**

What was changed on each side and anything that failed, with the error.

**Rules & Guidelines:**

* Tools named bugherd-... are on the bugherd MCP server; tools named servicenow-... are on the servicenow MCP server. If either set of tools is missing, say which server is not connected and stop.
* The only write tools this prompt may call are `servicenow-update-incident`, `bugherd-update-task` and `bugherd-add-comment`, and only for rows the user approved.
* Never reopen anything, and never change priority, impact, urgency or assignment.

**Validation:**

* If nothing has drifted, say so and stop.
* If an update fails, report it and carry on with the other rows.
