The problem

Hours that cannot be costed to the project

The people working on a project in Asana are not always set up as resources on it in Sage Intacct. Anyone missing in Intacct cannot have their time costed, and leavers stay assigned long after they have gone.

Without PopdockAI

  • List the project's Asana members
  • List the Intacct project resources
  • Match names written in different orders
  • Leave leavers assigned for months

With PopdockAI

  • Asana members, allocations and Intacct resources read
  • People matched by name, Last, First handled
  • Both sides, Asana only and Intacct only listed
  • Inactive and ended people called out, nothing changed

Prompt
**Objective:** Compare the people working on `{project-name}` in Asana with the resources assigned to it in Sage Intacct, and report who is on one side but not the other.

**Step 1: Find the project on both sides**

Call `asana-get-project` with `name` = `{project-name}` and `intacct-get-project` with `project-name` = `{project-name}`. If either returns zero or several projects, say so and stop.

**Step 2: Read Asana people**

Take Asana `project-id` and call `asana-get-project-memberships` with it as `project-id`, keeping `member`, `user` and `access-level`. Also call `asana-get-allocations` with the same `project-id`, keeping `assignee`, `start-date`, `end-date` and `effort-value`. To get emails, call `asana-get-user` with `name` = each person's name.

**Step 3: Read Intacct people**

Take Intacct `project-id` and call `intacct-get-project-resource` with it, keeping `employee-id`, `employee-name` and `labor-rate`. For names that do not match in Step 4, call `intacct-get-employee` with `employee-id` to read `status` and `end-date`.

**Step 4: Match people**

Match by full name, ignoring case, and normalise "Last, First" to "First Last" on both sides. Where the Asana email is known, you may also call `intacct-get-user` with `email` to find the Intacct login and its `contact-name`. Never pair two different names on a guess.

**Step 5: Report**

1. **On both** - name, Asana access level, Asana allocation dates, Intacct labor rate.
2. **In Asana only** - these people are working the project but cannot be costed to it in Intacct.
3. **In Intacct only** - with their Intacct employee `status`. Call out anyone inactive or with an `end-date` in the past.

**Rules & Guidelines:**

* `asana-get-project`, `asana-get-project-memberships`, `asana-get-allocations` and `asana-get-user` are on the asana server. `intacct-get-project`, `intacct-get-project-resource`, `intacct-get-employee` and `intacct-get-user` are on the intacct server.
* This prompt is read-only. Do NOT call `asana-add-members-for-project`, `asana-create-allocation`, `asana-update-allocation`, `asana-create-membership` or any intacct create or update tool.
* Asana teams (non-user members) cannot match an Intacct employee. List them separately as teams.

**Validation:**

* If Intacct has no resources on the project, say that the project has no Intacct resources and list the Asana people once.
* If Asana has neither members nor allocations, say so and stop.
