The problem

Delivery and finance hours that never agree

Time is tracked against tasks in Asana, but costed and billed hours come from Sage Intacct timesheets. Checking a project means totalling each person's time in both and lining up the names.

Without PopdockAI

  • Total each person's Asana time
  • Total their Intacct timesheet hours
  • Line names up by hand
  • Chase rounding as if it were an error

With PopdockAI

  • Asana time and Intacct hours totalled per person
  • Billable hours included
  • Gaps under a quarter hour treated as rounding
  • Largest gaps first, one sided people listed

The prompt

Prompt
**Objective:** Compare the time tracked in Asana against the hours on Sage Intacct timesheets for the project `{project-name}`, between `{start-date}` and `{end-date}` (default: the last 30 days, ending today), and report the difference by person.

**Step 1: Find the project on both sides**

Call `asana-get-project` with `name` = `{project-name}`. Call `intacct-get-project` with `project-name` = `{project-name}`. If either returns more than one project, list the matches and stop. If either returns none, say which side has no such project and stop.

**Step 2: Read Asana time**

Call `asana-get-tasks` with `projects.contains` = `{project-name}` to get the project's tasks. For each `task-id`, call `asana-get-time-tracking-entry` with `task-id` and `entered-on.from` / `entered-on.to` set to the date range. Sum `duration-minutes` by `created-by` and convert to hours (divide by 60, round to two decimals).

**Step 3: Read Intacct time**

Take `project-id` from the `intacct-get-project` result and call `intacct-get-timesheet-entry` with that `project-id` and `entry-date.from` / `entry-date.to` set to the same range. Sum `hours` and `billable-hours` by `employee-name`.

**Step 4: Match people**

Match Asana `created-by` to Intacct `employee-name` by full name, ignoring case. If names are formatted differently ("Last, First" against "First Last"), normalise both to first then last before matching. Never guess between two similar names; list them as unmatched instead.

**Step 5: Report**

A table with one row per person: name, Asana hours, Intacct hours, Intacct billable hours, difference (Intacct minus Asana). Sort by the size of the difference, largest first. Add a total row. Then list anyone who appears on only one side, with their hours.

**Rules & Guidelines:**

* `asana-get-project`, `asana-get-tasks` and `asana-get-time-tracking-entry` are on the asana server. `intacct-get-project` and `intacct-get-timesheet-entry` are on the intacct server.
* This prompt is read-only. Do NOT call `asana-create-time-tracking-entry`, `asana-update-time-tracking-entry` or any intacct create or update tool.
* Pass Asana dates as ISO (2026-03-01).

**Validation:**

* If the project has no tasks in Asana, or no time on either side in the range, say so plainly rather than reporting a table of zeros.
* A difference under 0.25 hours per person is rounding, not a discrepancy. Say so rather than flagging it.
