The problem

Deals slipping past their closing date

Opportunities in Business Central have closing dates, but salespeople work from their Asana task lists. Deals closing soon, or already past their date, slip when nobody has a task to follow them up.

Without PopdockAI

  • List opportunities closing soon
  • Find each salesperson in Asana
  • Check for existing follow ups
  • Create tasks by hand, or forget

With PopdockAI

  • Open opportunities closing in your window found
  • Overdue opportunities included
  • Deals already tracked skipped
  • Tasks created only after you confirm, due on the closing date

Prompt
**Objective:** Find open Business Central opportunities with an estimated closing date in the next `{days-ahead}` days (default 14), including any already past, and create one Asana follow-up task per opportunity in project `{project-id}`, assigned to its salesperson. Nothing is created until the user confirms.

**Step 1: Find the opportunities in Business Central**

Call `business-central-get-opportunity` with `closed` false, `estimated-closing-date.to` set to today plus `{days-ahead}` days (14 if empty) and `company` set to `{company}` if given. Keep `opportunity-number`, `description`, `contact-company-name`, `contact-name`, `estimated-value`, `estimated-closing-date`, `status`, `salesperson-code` and `salesperson-name`.

**Step 2: Resolve each salesperson to an Asana user**

For each distinct `salesperson-code`, call `business-central-get-salesperson` and take its `email`, then `asana-get-user` with `email` set to it and take the `user-id`. If any link is missing, leave the task unassigned and say why.

**Step 3: Skip opportunities that already have a task**

For each opportunity, call `asana-get-tasks` with `name.contains` set to the opportunity number. If an open task exists, skip it and list it as already tracked.

**Step 4: Confirm**

Show the plan as a table: opportunity number, description, company, estimated value, closing date (mark past dates as overdue), assignee, and the task name. Task name format: `Follow up <opportunity-number> - <contact-company-name> - <description>`. Due on: the estimated closing date, or today if it has passed. Ask the user to confirm or remove rows. Do not continue without a yes.

**Step 5: Create the tasks**

For each confirmed row, call `asana-create-task` once with `name` as above, `project-ids` set to `{project-id}`, `assignee-id` if resolved, `due-on` as above, and `notes` giving the contact name, estimated value, status and that it was created from Business Central.

**Step 6: Report**

List each task created with its `permalink-url`, each skipped opportunity, and each failure.

**Rules & Guidelines:**

* `business-central-get-opportunity` and `business-central-get-salesperson` are on the business-central server; `asana-get-user`, `asana-get-tasks` and `asana-create-task` are on the asana server.
* `asana-create-task` is the only write tool this prompt may call, and only after Step 4's confirmation.
* Do not call `business-central-update-opportunity` or any other business-central create or update tool. Do not call `asana-update-task` or any other asana write tool.

**Validation:**

* If no opportunities qualify, say so and stop.
* If more than 25 qualify, show the 25 with the highest estimated value and ask whether to include the rest.
* If a create fails, report it and continue.
