The problem

Change records drift from what was agreed in meetings

Change records drift from what was agreed in meetings, because nobody compares the two. Checking means finding the calls, reading transcripts for the change number and turning next Tuesday into real dates.

Without PopdockAI

  • Open the change record in ServiceNow
  • Find the meetings where it came up
  • Read transcripts for the change number
  • Work out the dates people meant

With PopdockAI

  • The change record is read, and it stops if it does not exist
  • Up to five recent meetings that mention it are read
  • Mismatches in dates, risk, owner and approval are listed
  • Date assumptions are stated, and nothing is changed

Prompt
**Objective:** Find the Granola meetings that mention change request `{change-number}` (for example CHG0030001) and check whether what was said matches the change record.

**Step 1: Read the change (ServiceNow)**

Call `servicenow-get-change-request` with `number` set to `{change-number}`. If nothing comes back, say so and stop. Keep `short-description`, `state`, `type`, `risk`, `priority`, `approval`, `planned-start-date`, `planned-end-date`, `assigned-to`, and `requested-by`.

**Step 2: Search meetings (Granola)**

Call `granola-get-transcript` with `text.contains` set to `{change-number}`, restricted to notes created on or after `{created-from}` (yyyy-mm-dd) when given. Collect the distinct `note-id` values. If none, call `granola-get-note` with `title.contains` set to `{change-number}`.

**Step 3: Read the context (Granola)**

For each distinct note-id (at most 5, newest first), call `granola-get-note` with `id` set to it. Pull the summary and the transcript lines that mention the change, with speaker.

**Step 4: Report**

The change header, then per meeting the date, title and what was said. Finish with a list of mismatches between the meetings and the record (dates, risk, owner, approval) and anything agreed in a meeting that the record does not show.

**Rules & Guidelines:**

* `servicenow-get-change-request` is on the ServiceNow server; `granola-get-transcript` and `granola-get-note` are on the Granola server.
* Read only. Do not call `servicenow-update-change-request` or any other write tool.

**Validation:**

* If no meeting mentions the change, say so and stop after Step 2.
* Dates spoken in a meeting are relative ("next Tuesday"); resolve them against the note's `created-at` and state the assumption.
