The problem

Incident decisions made on calls never reach the review

Finding where an incident was discussed means searching meeting notes by hand for the number. Decisions made in calls never reach the ticket review, because nobody connected the two.

Without PopdockAI

  • Search meeting notes for the incident number
  • Open each meeting that might mention it
  • Copy out what was decided
  • Miss meetings that were never searched

With PopdockAI

  • The incident is read, and it stops if it does not exist
  • Up to five recent meetings that mention it are read
  • Lines with the number are quoted
  • Decisions and follow-ups are listed, and nothing is changed

Prompt
**Objective:** Find the Granola meetings that mention incident `{incident-number}` (for example INC0010001) and summarise what was said, looking back from `{created-from}` if given (yyyy-mm-dd).

**Step 1: Read the incident (ServiceNow)**

Call `servicenow-get-incident` with `number` set to `{incident-number}`. If nothing comes back, say the incident does not exist and stop. Keep `short-description`, `state`, `priority`, `caller`, `assigned-to`, `assignment-group`, and `opened`.

**Step 2: Search meetings (Granola)**

Call `granola-get-transcript` with `text.contains` set to `{incident-number}` and `note-created.from` set to `{created-from}` if given. Collect the distinct `note-id` and `note-title` values. If there are none, also call `granola-get-note` with `title.contains` set to `{incident-number}`.

**Step 3: Read the context**

For each distinct note-id (at most 5, newest first), call `granola-get-note` with `id` set to it and keep `title`, `created-at`, `owner-name`, and `summary`. Quote the transcript lines (speaker and text) that contain the incident number.

**Step 4: Report**

The incident header, then one section per meeting with date, title, owner, summary and the quoted lines. End with the decisions or follow-ups that were stated about the incident.

**Rules & Guidelines:**

* `servicenow-get-incident` is on the ServiceNow server; `granola-get-transcript` and `granola-get-note` are on the Granola server.
* Read only. Do not call `servicenow-update-incident`, `servicenow-add-incident` or any other write tool.

**Validation:**

* If no meeting mentions the incident, report that rather than guessing from similar text.
* If more than 5 meetings match, say how many were left out.
