The problem
Daily gifts booked twice or to accounts that will not post
Each day's Bloomerang gifts need to become Sage Intacct journal entries by fund, but refunds, pledges and processor fees complicate the totals. Done by hand, gifts get booked twice or to an account that is inactive or will not accept the posting.
Without PopdockAI
- Export the day's gifts from Bloomerang
- Total them by fund, removing refunds and pledges
- Check each account and required dimensions
- Key the entries and hope none were booked already
With PopdockAI
- Gifts are totalled by fund, leaving out refunds and pledges
- Accounts are checked and missing department or location IDs asked for
- Funds already booked are skipped and fee treatment is asked
- Draft entries are created only after you confirm, then read back

**Objective:** Book the gifts Bloomerang recorded on `{gift-date}` into Sage Intacct as one balanced journal entry per fund, debiting account `{debit-account}` and crediting the fund's revenue account, in journal `{journal}` (default GJ). Nothing is written until the user confirms the plan.
**Step 1: Total the day's gifts by fund (Bloomerang)**
Call `bloomerang-get-transaction` with `date.from` and `date.to` both set to the gift date. Leave out transactions with `refunded` true, and say how many were left out. For each remaining transaction, call `bloomerang-get-designation` with `transaction-id` and total the designation `amount` by `fund-name`.
Leave out designations of `type` Pledge. A pledge is a promise, not money received, and this entry debits a cash account.
Call `bloomerang-get-fund` to get each fund's `id` and `general-ledger-class`.
**Step 2: Check the accounts (Intacct)**
Call `intacct-get-account` with `account-number` for the debit account and for each fund's `general-ledger-class`. Drop a fund, and say why, if its class is blank, the account does not exist, its `status` is not active, or `disallow-direct-posting` is true. If `require-dimension-department` or `require-dimension-location` is true on an account, ask the user for the department or location ID. Do not guess one.
**Step 3: Check it is not already booked (Intacct)**
Each entry's reference number is BLM-, the gift date without dashes, a dash and the Bloomerang fund `id`: for example BLM-20260301-123.
* Call `intacct-get-journal-entry` with `reference-number` set to it. If an entry exists, skip that fund.
* Call `intacct-get-general-ledger-detail` with the fund's `account-number` and `entry-date.from` / `entry-date.to` set to the gift date. If credits already on that account come close to the fund total, skip the fund and report it: the gifts may already be booked another way, such as a receipt coded straight to revenue.
**Step 4: Confirm the plan**
Show a table: fund, credit account, debit account, amount, reference number, and whether the entry will be created or skipped (with the reason). Show the total. If any transaction has a non-zero `fee-amount`, list those fees separately and ask whether they belong in the amounts or are booked elsewhere. Ask the user to confirm, and do not continue without an explicit yes.
**Step 5: Create the entries (Intacct)**
For each fund to create, call `intacct-create-journal-entry` once, with:
* `debit-account` set to the debit account above, and `credit-account` set to the fund's `general-ledger-class`
* `debit-amount` and `credit-amount` both set to the fund total
* `posting-date` set to the gift date as MM/DD/YYYY; Intacct requires that format here, so 2026-03-01 becomes 03/01/2026
* `journal` set to the journal above (GJ if none was given), `reference-number` as in Step 3, and a `title` of "Bloomerang gifts" with the date and the fund name
* `state` set to draft, unless the user explicitly asked to post
Then call `intacct-get-journal-entry` with each `reference-number` and report what was stored.
**Rules & Guidelines:**
* Tools named bloomerang- are on the Bloomerang MCP server; tools named intacct- are on the Sage Intacct MCP server. Both servers must be connected.
* `intacct-create-journal-entry` is the only tool that may write, once per fund, and only after the user confirms in Step 4. Do not call `intacct-update-journal-entry`, and do not call any Bloomerang add or update tool, such as `bloomerang-update-transaction`.
* Never split one fund across two entries, and never create an entry for a fund that failed a check.
* Omit `company` on Intacct calls unless the user names one.
**Validation:**
* If Bloomerang has no gifts on the date, say so and stop.
* A transaction's designation amounts should add up to its `amount`. If they do not, leave the transaction out, name it and give the difference.
* If a create fails, report the error for that fund, carry on with the others, and do not retry automatically.Who it's for
One answer, three teams that use it
Nonprofit accountants
Book gifts without rekeying
A day's gifts become draft entries by fund, with accounts checked before anything is written.
Book Bloomerang gifts from November 3 to Intacct, debit account 1000.
Finance directors
Keep postings clean
Funds already booked are skipped, so revenue is never counted twice.
Post yesterday's Bloomerang gifts to Intacct, but skip anything already booked.
Gift processors
Handle processor fees consistently
You are asked how to treat processing fees, so every day is booked the same way.
Book Bloomerang gifts from October 20 to the Intacct GJ journal, debiting 1010, and ask me about fees.
