The problem
Proving every gift reached the bank rarely gets finished
Bloomerang gifts should match money arriving in Sage Intacct, but processors pay out in batches net of fees, checks are bundled and payment methods are named differently. Proving every gift reached the bank rarely gets finished.
Without PopdockAI
- Export gifts from Bloomerang
- Pull receipts and deposits from Intacct
- Match checks and card batches by hand
- Work out fees from shortfalls
With PopdockAI
- Gifts, refunds, receipts, payments and deposits are read with settlement time
- Checks match on number or amount and date, cards by daily batch
- Shortfalls are shown as implied fees, and money is counted once
- Unmatched gifts and money are listed, and nothing is changed

**Objective:** Reconcile the gifts Bloomerang recorded from `{start-date}` to `{end-date}` (default: the same day as the start date) against the money Sage Intacct shows arriving, limited to Intacct bank account `{bank-account}` if one is given (default: all bank accounts). Report what matches, what is only in Bloomerang, and what is only in Intacct. Change nothing.
**Step 1: Read the gifts (Bloomerang)**
Call `bloomerang-get-transaction` with `date.from` and `date.to` set to the window. Keep `id`, `transaction-number`, `date`, `amount`, `method`, `check-number`, `fee-amount` and `refunded`. Keep refunded gifts in the match: the original payment still reached the bank.
Call `bloomerang-get-refund` for the same window and list refunds separately, since they leave the bank as their own outflow.
**Step 2: Read the money in (Intacct)**
Extend the end of the Intacct window by 3 business days, because card and EFT gifts settle after the gift date.
* `intacct-get-other-receipt` with `transaction-date.from` / `transaction-date.to`, and `bank-account` if given.
* `intacct-get-ar-payment` with `receipt-date.from` / `receipt-date.to`, for gifts paid against an Intacct invoice such as a sponsorship or a grant.
* `intacct-get-deposit` with `deposit-date.from` / `deposit-date.to`, and `bank-account` if given. For each deposit, call `intacct-get-deposit-line` with `deposit-record-number` set to its `record-number`.
Match at the most detailed level first. Other receipts and AR payments are individual items; a deposit can bundle items that were already recorded as receipts. Use a deposit line only for money no receipt or payment accounts for, and never count the same money twice.
**Step 3: Match**
* **Checks:** match a gift with `method` Check to an Intacct item of the same amount whose `document-or-check-number` (AR payments) or description carries the same check number. With no check number to compare, match on amount within 5 days of the gift date.
* **Cards and EFT:** processors pay out in batches, net of their fees. Total the card and EFT gifts per gift date and compare each day's total with receipts or deposit lines over the next 3 business days. A shortfall that looks like processing fees (a few percent of the batch) is a fee, not a missing gift; report the implied fee.
* **Cash:** match on amount within 5 days of the gift date.
**Step 4: Report**
* **Matched:** transaction number, gift date, amount, method, and the Intacct item it matched (type, number, date).
* **In Bloomerang, not in Intacct:** gifts with no matching money, with the nearest candidate if one was close.
* **In Intacct, not in Bloomerang:** receipts and deposit lines with no matching gift, with payer or description and account. Say whether each looks like a gift entered only in finance, or non-gift income, judging by its account and description.
* **Refunds in the window,** listed on their own.
End with one line: Bloomerang total, Intacct total, implied fees, and the unexplained difference.
**Rules & Guidelines:**
* Tools named bloomerang- are on the Bloomerang MCP server; tools named intacct- are on the Sage Intacct MCP server. Both servers must be connected.
* Read only. Do not call `bloomerang-add-transaction`, `bloomerang-update-transaction`, `bloomerang-add-refund`, `intacct-create-journal-entry` or any other add, create or update tool on either server.
* Pass dates to both servers as YYYY-MM-DD. Omit `company` on Intacct calls unless the user names a company.
**Validation:**
* If Bloomerang has no gifts in the window, say so and stop.
* If Intacct has nothing in the window, say so, report the Bloomerang total as unmatched, and suggest checking the bank account and the Intacct company.
* If a call returns exactly `max-records` rows, the list is truncated: narrow the window and read again rather than reconcile a partial list.
* The two systems name payment methods differently (Credit card, Visa, Printed Check, Record Transfer). Match on meaning, not spelling.Who it's for
