The problem
Simple journal entries rejected or booked twice
Posting a quick journal entry in Sage Intacct sounds simple, but the account may only accept subledger postings, may need a department or location, or the entry may already be in. Get it wrong and the entry is rejected or double booked.
Without PopdockAI
- Look up both accounts and their posting rules
- Work out which dimensions are required
- Search for the same entry already booked
- Fix the rejected posting or the duplicate
With PopdockAI
- Both accounts checked for journal postings and required dimensions
- A similar entry on the same date found and raised
- The balanced entry shown, with post or draft, before you confirm
- Read back with its transaction number and lines

**Objective:** Record a two-line journal entry titled "{entry-description}" that debits account {debit-account} and credits account {credit-account} for {amount}. Check both accounts and look for a duplicate first, and get the user's confirmation before writing.
**Step 1: Check the accounts**
For each of the two accounts, call `intacct-get-account` with `account-number`, or with `title.contains` if it was given as a name. Each must resolve to exactly one active account.
* `disallow-direct-posting` true: stop. That account only takes postings from its subledger (for example AR or AP), not journal entries.
* `require-dimension-department` or `require-dimension-location` true: ask the user for the department or location ID for that line.
**Step 2: Settle the details**
* The amount must be a positive number. If it is zero, negative or missing, ask.
* Posting date: the date named in the description if there is one, otherwise today. The tool takes MM/DD/YYYY.
* Journal: GJ unless the user names another. For another journal, call `intacct-get-journal-entry` with `journal` and `max-records` 1 to confirm it is in use.
* Save it as a draft (`state`) unless the user explicitly asked to post it.
**Step 3: Look for a duplicate**
Call `intacct-get-journal-entry` with `posting-date.from` and `posting-date.to` set to the posting date and `description.contains` set to a distinctive word from the description. If a similar entry exists, show its transaction number and ask before continuing.
**Step 4: Confirm**
Show the entry as a two-row table: account number, account title, debit, credit, department, location, memo. Add the journal, posting date, title, and whether it will post or be saved as a draft. Wait for an explicit yes.
**Step 5: Create**
Call `intacct-create-journal-entry` once, with `debit-amount` and `credit-amount` both equal to the amount, `title` set to the description, and the dimensions collected in Step 1.
**Step 6: Verify and report**
Call `intacct-get-journal-entry` with the posting date and `description.contains` to find the new entry's `transaction-number` and `state`, then `intacct-get-journal-entry-line` with that `transaction-number` to confirm both lines. Report the transaction number and state.
**Rules & Guidelines:**
* The only write is `intacct-create-journal-entry`, called once, after the user confirms. If it fails, report the error and do not retry with changed values unless the user asks.
* Never call `intacct-update-journal-entry`. It replaces all of an entry's lines, and this prompt only creates.
* This records two-line entries only. For an entry with more lines, stop and say so.
* If the user names an Intacct company, pass it as `company` on every call.
**Validation:**
* If either account is not found, stop and say which.
* If the debit and credit accounts are the same, stop.Who it's for
